Description The Information & Document Control Manager leads the implementation, management, and continuous improvement of document control systems, processes, and standards across projects. This role ensures all documentation is accurate, compliant, traceable, and easily accessible, aligning with organisational and regulatory requirements. Responsibilities Responsibilities Document Management & Compliance Develop, implement, and maintain document control procedures, standards, and systems. Ensure compliance with relevant regulatory, contractual, and company documentation standards (e.g., ISO 19650). Manage the full document lifecycle: creation, review, approval, distribution, retention, and archiving. Ensure that information meets required quality and specifications and is collected, managed and transferred effectively ensuring its value is understood, maximised and reused Team Leadership Lead, mentor, and develop a team of document control professionals. Set performance objectives, conduct appraisals, and oversee training initiatives. Promote a culture of high performance, collaboration, and continuous improvement. System Oversight Administer and optimise the use of Electronic Document Management Systems (EDMS). Ensure data integrity, user access control, and system functionality. Drive system upgrades, user training, and support. Project & Stakeholder Coordination Collaborate with project managers, engineers, and stakeholders to meet information management needs. Coordinate document reviews, approvals, and external/internal submissions. Provide clear reporting on document control metrics, compliance, and project readiness. Quality Assurance & Audits Conduct regular audits of document control practices. Implement corrective and preventative actions to address non-conformities. Maintain detailed records of audits, inspections, and compliance checks. Process Improvement Champion best practices and technological advancements in document control and information management. Identify inefficiencies and lead initiatives to streamline processes and increase automation Knowledge, Skills, and Experience Essential Significant’ experience in document control, especially in a senior/managerial capacity. Strong background in the engineering, construction, or infrastructure sectors. Proven experience in implementing and managing EDMS solutions. Demonstrated ability to lead teams and support major project delivery. Experience in document audits, compliance assurance, and corrective action planning. Proficiency with ISO 19650, BS EN standards, or other industry-standard documentation frameworks. Desirable Bachelor’s degree in Engineering, Construction Management, Information Management, or Business Administration. Certifications in document management, quality management, or project management (e.g., ISO 9001, PMP, PRINCE2). Technical Proficiency: Proficient in EDMS platforms (e.g., BC, Documentum, ProjectWise, SharePoint). Strong Microsoft Office Suite skills (Word, Excel, Outlook, PowerPoint, Power BI). Knowledge of database management and digital file systems. LI-ES1 Qualifications Desirable Bachelor’s degree in Engineering, Construction Management, Information Management, or Business Administration. Certifications in document management, quality management, or project management (e.g., ISO 9001, PMP, PRINCE2).
