Purpose of the Role
To provide high-quality administrative and clerical support to the academy's administration teams, contributing to the smooth and efficient running of the school office. The role also includes front-of-house responsibilities, ensuring a professional and welcoming reception for all visitors, students, and staff.
Key Responsibilities
Administrative Support
* Deliver a wide range of administrative tasks including data entry, document preparation, filing, and record-keeping.
* Support Heads of Year, Achievement Leaders, and the Leadership Team with administrative duties such as producing letters, reports, and forms.
* Maintain accurate and up-to-date records using the academy's management information systems (MIS).
* Assist with the preparation and distribution of internal communications and newsletters.
Reception Duties
* Act as the first point of contact for visitors, parents, and students, ensuring a professional and courteous welcome.
* Manage incoming calls, emails, and post, directing queries appropriately and ensuring timely responses.
* Maintain the reception area to a high standard, ensuring it is tidy, welcoming, and informative.
Office Operations
* Operate and maintain office equipment including photocopiers, scanners, and shredders.
* Support the organisation of meetings, including room bookings, hospitality arrangements, and preparation of materials.
* Assist with stock control and ordering of office supplies.
Student Support
* Provide a supportive and approachable presence for students visiting the office.
* Assist with student queries and signposting to appropriate staff or services.
Compliance and Policies
* Adhere to all academy policies including safeguarding, health and safety, equality and diversity, and data protection.
* Maintain confidentiality and professionalism at all times.
Training and Development
* Work towards a Level 3 Business Administration qualification through a recognised training provider.
* Participate in all required training sessions, reviews, and assessments.
* Take an active role in personal development and continuous improvement.
Person Specification
Essential
* Minimum GCSE Grade 4 (C) or equivalent in English and Maths.
* Strong IT skills, particularly in Microsoft Office (Word, Excel, Outlook).
* Excellent verbal and written communication skills.
* Ability to work independently and as part of a team.
* Strong organisational skills and attention to detail.
* Friendly, approachable, and professional manner.
* Willingness to learn and take on new challenges.
Desirable
* Previous experience in a customer-facing or administrative role.
* Familiarity with school environments or education settings.
* Knowledge of school MIS systems (e.g., SIMS, Arbor).
