The Trust’s Executive Team are responsible for the running of the hospital and the Executive Assistant is a key position to support the Executives to deliver their duties on a day-to-day basis.

The post holder will hold the position of Executive Assistant to the Chief Operating Officer within the Chief Executive’s Office to provide comprehensive and efficient secretarial and administrative support.

This is an important role, interfacing on a regular basis with the Executive Team, senior managers and a wide variety of Trust staff and external organisations/individuals.

It is essential to demonstrate experience of complex diary management at Director or Senior level - this will be discussed in depth at interview stage.

Main duties of the job

Working directly with the specified Executive Director(s), the role involves helping them to plan their business to support the delivery of both the Trust and the Care Group strategic aims and objectives.

The post holder will provide an excellent confidential executive assistance service and will work collaboratively with the Corporate Services Team.

The post holder will be responsible for all secretarial and administrative duties to support the Executive(s), including diary management, management of databases and advanced level use of IT packages such as Word, Excel, Outlook, Teams and Powerpoint. In addition, the post holder will be occasionally be required to take minutes up to Senior Management Team level, coordinating papers and managing actions as required.

The post holder will ensure workloads are managed effectively in support of their Executive Director’s portfolios working with the Corporate Governance Manager (inc EA to Chief Executive) and Associate Director of Corporate Governance.

Person specification

Education, Qualifications and Training

Essential criteria

1. A demonstrable proficiency in English Language
2. Educated to equivalent of Level 3 Higher Education
3. Willingnesss to undertake post relevant qualification in Higher Level Education

Desirable criteria

4. Educated to equivalent of Level 4 Higher Education

Experience and Knowledge Required

Essential criteria

5. A minimum of 2 years’ experience of diary management (or equivalent) for a Director or Senior Manager level.
6. Knowledge and expert competence with Microsoft Packages including Word, Excel, Outlook and PowerPoint.

Desirable criteria

7. Previous experience of working in the NHS.
8. Knowledge of the Board of Directors roles and responsibilities with the NHS

Skills and Attributes

Essential criteria

9. Clear communicator verbal and written, capable of constructing and delivering clear information
10. Excellent organisational skills with ability to work both in a team and independently without supervision.

Desirable criteria

11. Demonstrable ability to develop and maintain professional relationships with staff from external organisations and the community to enable effective partnership working.
12. Ability to demonstrate innovation and develop productive working systems and practices.
