Join the Arriva Road Transport Services Team as a Coordination Assistant! Location: Derby with hybrid working options Contract: Permanent, Monday to Friday Salary: £26,000 per annum Company; Arriva Road Transport Services Who We Are Arriva Road Transport Services (ARTS) oversee and manages all aspects of coaches, buses, taxis and coordinators which are provided for rail replacement, special events, school support and train crew support across the portfolio of customers within ARTS in both a pre-planned and on an emergency basis. And now, we’re looking for a Coordination Assistant to join our team. What you’ll be doing; Reporting to the Coordination Manager, you will be responsible for delivering a safe, effective, and efficient resourcing and planning management service for all Coordinators working for ARTS. Day-to-Day Responsibilities; First point of contact : As the first point of contact, you’ll field inquiries, requests, and business opportunities from both internal teams and external stakeholders. Managing our coordinators : Help coordinate 280 casual staff by ensuring shifts are assigned smoothly, and that all our coordinators are in the right place at the right time. Keeping Coordination organised : You’ll manage all the paperwork (from schedules to reports), ensuring digital and physical files are accessible. Payroll & Invoices : Assist with payroll data and ensure everything’s processed accurately and on time. You’ll also support in reconciling invoices from suppliers and external coordinators. Making improvements : Collaborate with our team to support commercial development and gather feedback to identify areas for operational improvements. Building relationships : You’ll play a key role in building strong, lasting relationships with both internal teams and external partners. What you need; Organisation : able to deal with multiple requests and priorities Attention to Detail : ensuring everything is accurate and on point. Technical; comfortable with IT and can use different software (Microsoft Office) Geographic Knowledge : You’ve got a strong knowledge of UK geography – the more roads, routes, and railways you know, the better! Communication : Whether it's liaising with the team or managing a roster of 280 casual staff, you’ve got the communication skills to handle it.
