The Lambeth Child and Adolescent Mental Health Service (CAMHS) is primarily based at William Geoffrey House with other sites including The Mary Sheridan Centre, and St John’s School where 4 teams are co‑located with the Local Authority. Lambeth CAMHS provides a multidisciplinary diagnostic assessment, treatment, advisory and consultative service for children and adolescents with persistent problems, suggestive of moderate to severe psychiatric disorder. It provides a friendly and supportive environment and regularly provides training placements for psychiatrists, psychologists, nurses & social workers.

The Lambeth Child and Adolescent Mental Health Service (CAMHS) is recruiting a Borough Leadership Administrator to play a key role in supporting the effective running of the service and helping deliver high‑quality care for children, young people and their families. This full‑time post operates Monday to Friday, 9:00am to 5:00pm, with some flexibility required to meet service needs, and is based at a Lambeth CAMHS office in Kennington.

The role requires an experienced, organised administrator who is confident working in a fast‑paced environment and liaising with clinical staff, as well as children, parents, carers and visitors. The post‑holder will provide comprehensive administrative and organisational support to the Clinical Lead and Service Manager, acting as a key point of liaison across CAMHS teams, senior management, Trust departments and external stakeholders. Acting as an ambassador for the Trust, the post‑holder must demonstrate professionalism, discretion and excellent communication skills.

Key duties include managing routine correspondence, organising Clinical Governance Days, senior management meetings, training events and maintaining records relating to consultant and specialty doctor job planning, appraisal and revalidation. Strong IT skills, including Microsoft Outlook, Word, Excel and PowerPoint, are essential. This role offers an opportunity to contribute to high service standards and support compassionate, effective care delivery.


Key Responsibilities


Clinical Support

* To work closely with the multi‑disciplinary team to maintain recognised standards promoting efficient service management.
* To promote the Trust approach to patient care in conjunction with the multi‑disciplinary team.
* To support the Clinical Lead and Service Manager in preparation and room coordination as required.


Administrative and Clerical

* Management of diaries and arranging appointments, meetings and timetables for the Clinical Lead and Service Manager.
* Dealing with incoming post and electronic correspondence, assessing priority, and dealing with matters as appropriate, including initiating and replying to correspondence.
* To reply to routine correspondence and deal with general matters as required by the Clinical Lead and Service Manager.
* Co‑ordinate and oversee the action tracker and workstreams of the Senior Management Team of Lambeth CAMHS, proactively and in liaison with meeting chairs. Maintain SMT workflow via prompts and timelines, proactively seeking updates on actions, keeping workflow “on track”. Implement and maintain any changes to SMT meeting structure.
* Organising Clinical Governance Days, Senior Management Team away days, training events.
* Assisting the Clinical Lead in maintaining records and administration around consultant and specialty doctor job planning, appraisal and revalidation.
* Annual leave/study leave/sick leave/other leave and duty rotas recording for the specialty doctors and locum doctors, if required.
* To deal with initial enquiries to the department including complaints.
* To liaise with patients with telephone and in writing as required.
* Distribution of weekly and duty consultant on call rota and ensuring the contact information is up to date. Updating the rota as required in the event of change, and notifying all relevant parties.
* To receive and transfer telephone lines to colleagues within Lambeth CAMHS, the hospital, Trust and externally.
* Provide cover in the absence of other staff within the Department by ensuring appropriate liaison on leave, absences etc.
* If required, organising meetings, booking venues, arranging catering, speakers, sponsors and ensuring all runs smoothly.
* Preparing correspondence, reports, clinical papers and other items using Word, Excel, Outlook and PowerPoint.
* Preparing meeting agendas, taking and typing minutes for in‑house meetings and distributing promptly.
* Monitoring compliance of Statutory mandatory training and assisting Clinical Lead and Service Manager in facilitating staff compliance.
* Support to Clinical Lead and Service Manager and assist them with smooth running of the department.
* To coordinate and assist in the recruitment process for medical staff and other staff as required.
* Accurate record keeping including up to date job plans and department telephone contact list.
* Dealing with all enquiries, including telephonic enquiries from patients, taking action where appropriate and communicating information promptly on to the Clinical Lead/Service Manager or colleague if necessary. Liaising closely with other departments, patients, General Practitioners, other hospitals and both national and international organisations.
* Arrange patient appointments as necessary.
* Ability to work in an unpredictable pattern, dealing with frequent interruptions.
* Organise the booking of interpreters and translation of correspondence, where appropriate.
* Order stationery and be responsible for the following up of orders to ensure delivery and correct receipt of stock for the team, as required.
* Trace patient NHS details via the National Tracing System.
* Make travel arrangements for the team when required.
* Monitor and update operational data quality information proactively to ensure targets and standards are met. To assist the team lead in collating data and producing the quarterly reports for the respective service.
* To contribute in the compliance of Health and Safety requirements as requested by management. Maybe required to become Health and Safety Champion depending on service need.
* Support admin trainees and temporary staff, ensuring access to ICT and the relevant Trust policies.
* To contact Trust Estates and Facilities Department to report any faults or works that need to be undertaken.
