Job Summary
Help out with secretarial and administrative tasks for the Legal Director, Assistant Divisional Legal Managers, and Conveyancing teams. This includes keeping track of plot/transaction progress, updating our computer systems, and managing documents used by different departments.
Primary Responsibilities
Make sure all documents and correspondence from the Department look professional and are accurate.
Type up correspondence like offers, contracts, and other documents as needed. Prepare Dispositions, Advance Notices, LBTT Returns, and Land Registration Application Forms. Communicate with external agents to gather updates for our weekly meetings.
Assist with handling mail for the Department and finding files for the Legal Director and Assistant Divisional Legal Managers. Scan and save mail into the right file and email a copy to the appropriate Paralegal. Dispose of letters securely after uploading them to the system. Keep principal contracts properly stored and filed.
Keep our filing archive and computer systems organized. Make sure electronic files are in order and maintain our department's case management system.
Answer phone calls and direct them to the right person in the Department or other departments when necessary.
Perform general office tasks, including filing, photocopying, scanning, audio/copy typing, handling calls, ordering office supplies, and managing mail, among other things.
Fill out various documents with important information that we send to external agents each month.
Keep an eye on the Shared Legal Inbox all the time.
Record incoming Completion Certificates. Deal with requests for copy Completion Certificates and Road Bonds promptly, and ensure payment is received. Handle inquiries from other departments and external agents regarding past projects and keep copies of relevant emails for future reference.
Experience, Qualifications, Technical Requirements
Legal secretarial/support experience within a conveyancing or property focussed setting
Used to working to tight deadlines and in a fast paced and pressurised environment.
Proven experience within a busy office environment.
Methodical and accurate approach to all tasks with close attention to detail
Extensive I.T. skills including the use of Word and Excel.
