Coordinate and support the day to day running of internal and external plant hire operations, ensuring the team have oversight, structure, and timely follow through. Aligning day to day team activity with forecasted plans. Oversee the coordination between internal and external plant hire operations, ensuring consistent planning, clear responsibilities, and minimal duplication or delays. Monitor equipment utilisation and support the team in reducing idle or underperforming assets, making recommendations accordingly. Follow up on out of the ordinary requirements, for example; damages, losses, and investigation of these, including tracking, reporting, identifying trends, supporting minimisation efforts, and contributing to toolbox talks and briefings. Work alongside the Plant Manager to develop and implement a sustainable external hire solution that supports flexibility and cost efficiency, whilst maintaining internal supply as a priority. Support the Stores and Internal Hire team with stock control, supplier pricing, and the development of supply agreements to enable fast turnaround and better pricing on regularly used equipment. Provide additional oversight of daily compliance routines to support overall legal and safety obligations. Line manage the Stores Manager, Internal Hire/Stores, and External Hire functions, including providing cover where necessary. Additionally, oversee the Workshop and Fleet function in the Plant Manager’s absence Attend key planning sessions and promote liaison between key stakeholders throughout the plant hire process. Maintain awareness of incoming/outgoing plant to support asset turnaround and push forward on key deadlines, workshop scheduling, and hire fulfilment. Support ongoing system cleanup and improved use of EVision across the department. Drive consistency throughout the department’s various functions, alongside development of a longer term customer facing information sharing solution. Oversee development of our data sharing structure and implementation Monitor asset movement and operational trends to feed into wider reporting and planning. Develop, manage and promote the sharing of regular equipment and workshop related toolbox talks (TBTs), topical updates and key information to be shared with the project teams and wider company. Manage the development of bespoke equipment datasheets, catalogues, and similar materials. Develop and maintain monthly data to support the reporting of internal hire and external hire spend, revenue, trends, and notable activity. Assist with handling "out of the ordinary" tasks and requests. Skills & Knowledge Excellent organisational and coordination skills, with the ability to manage multiple priorities at once Confident in identifying process gaps and pushing forward practical, common sense improvements Clear and direct communication style, with ability to link up activity across teams and departments Strong attention to detail, especially in task follow through, documentation, and internal communication Working knowledge of plant/fleet/logistics operations is helpful but not essential Experience Proven experience coordinating operational activity across multiple stakeholders, ideally in a fast paced setting Background in managing or supporting teams, with a practical, hands on approach to problem solving Track record of resolving issues quickly and effectively within mixed skill teams Familiarity with plant hire, supply chain, or similar sectors is helpful but not essential Technology skills Proficient with Microsoft Office tools Comfortable using or learning business systems (e.g., ERP or asset tracking platforms) Able to support basic system/process troubleshooting and drive consistency in digital updates Capable of pulling together summary reports, trackers, and shared documents that others can easily use Training Willingness to undertake relevant training (e.g., SSSTS, LOLER/PUWER awareness, hire systems, health & safety) Comfortable delivering toolbox talks and contributing to departmental communications May occasionally support or develop internal training materials and documentation relating to equipment usage Awareness of safe working practices and ability to reinforce a culture of compliance Qualifications Full UK driving licence (essential) CSCS card (desirable) Recognised management or supervisory training (e.g., ILM) is desirable Business Administration or relevant vocational qualification (desirable) GCSE English and Maths or equivalent
