Job Title: Systems Coordinator
Location: Solihull
Salary: £27,000 – £32,000 per annum (depending on experience)
Employment Type: Full-Time, Permanent
Industry: Construction – Main Contractor

About the Role
We are seeking a highly organised and proactive Systems Coordinator to join our team. This role will play a key part in supporting governance, process efficiency, and systems development across the business, ensuring we maintain our high operational standards.
You will work closely with our Systems Team, Senior Systems Manager, and various departments to ensure documentation, governance processes, and systems are effectively managed and continuously improved.

Key Responsibilities

Governance & Process Support

Support the Systems Team in applying governance processes, policies, and procedures across projects and departments.

Maintain accurate and consistent system documentation, ensuring compliance with company standards.

Monitor activity against governance requirements, flagging risks, gaps, or areas for improvement.

Contribute to quality assurance checks to ensure accuracy and readiness of outputs.

Assist with systems builds and projects through data collection, review, and analysis.

Document Control

Manage central business governance and project documentation in line with ISO 19650 principles.

Apply version control processes to ensure only current, approved documents are used.

Monitor document quality, structure, and accessibility to meet business needs.

Standard Operating Procedures (SOPs)

Collaborate with department heads and subject matter experts to research, draft, and update SOPs.

Ensure SOPs are clear, consistently formatted, and easily accessible.

Maintain review schedules to keep SOPs up to date, tracking approvals and updates.

Organise SOP repositories for easy access across the business.

Project Coordination

Support planning and organisation of systems-related projects, tracking deadlines and milestones.

Coordinate project meetings, prepare agendas, and record accurate minutes with clear action points.

Maintain project trackers and dashboards for reporting purposes.

Gather feedback and data to support project evaluations.

SharePoint Platform Support

Assist with the implementation of the company’s SharePoint platform in collaboration with an external developer.

Manage document libraries, permissions, and navigation for usability.

Collect user feedback to support platform improvements.

General Administration & Team Support

Provide administrative support to the Senior Systems Manager and Systems Team.

Prepare presentations, reports, and communications for stakeholders.

Review and analyse data to identify trends and improvement opportunities.

Organise training sessions for new systems, processes, and governance updates.

Maintain training records and coordinate training renewals.

Support ad-hoc projects and business priorities.

Requirements

Proven experience in a similar role within a construction main contractor.

Strong organisational skills with excellent attention to detail.

Ability to work collaboratively across multiple teams and departments.

Competence in Microsoft Office 365 and SharePoint.

Knowledge of ISO 19650 principles is desirable.

Strong communication skills, both written and verbal.
