Novosound work with customers from a variety of industries and use their groundbreaking thin-film ultrasound technology to find solutions to the unique challenges they face. Based at their Motherwell site (hybrid working available), novosound are seeking a highly organized, proactive, and discreet Personal Assistant (PA) to provide comprehensive support to the Chief Executive Officer. This pivotal role will ensure the CEO's day-to-day operations run smoothly by managing schedules, handling communications, coordinating travel, and acting as a key liaison both internally and externally. The ideal candidate will be a confident communicator, adaptable to a fast-paced environment, and capable of handling a wide range of administrative and executive support tasks with efficiency and professionalism. Key Responsibilities: Executive Support: Manage the CEO's schedule, including meetings, appointments, travel arrangements, and events. Communication: Act as the first point of contact for the CEO, screening calls, emails, and correspondence. Meeting Coordination: Organize and prepare materials for meetings, take minutes, and follow up on action items. Travel Management: Plan and coordinate domestic and international travel, including itineraries, accommodations, and logistics. Confidentiality: Handle sensitive information with the utmost discretion and professionalism. Relationship Management: Liaise with internal staff, board members, clients, and external partners on behalf of the CEO. Project Assistance: Support with special projects, presentations, and reports as required. Office Support: Manage expense reports, purchase orders, and other administrative tasks to support the executive office. Key Requirements: Proven experience as a Personal Assistant, Executive Assistant, or similar role supporting senior-level executives. Exceptional organizational and time management skills. Excellent written and verbal communication abilities. Must be proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other relevant tools. Ability to multitask and prioritize in a dynamic, fast-paced environment. High level of integrity and discretion in handling confidential information. Strong interpersonal skills and a professional demeanour.
