On-site facilities include an indoor heated swimming pool, outdoor play area, animal feeding paddocks, games room, tennis court, catering service and beauty treatments. We are looking for an Administration Assistant to join our team to cover our day to day Administration & provide the first point of contact from our on-site Reception:

The Role:
The position requires the successful candidate to manage the day-to-day administration of a self-catering holiday complex in Marhamchurch, Nr Bude in North Cornwall – alongside the owners who live on site. The role is very wide and varied and so the candidate needs to have the ability to adapt to the requirements of the role as is required.
The successful candidate will primarily be responsible for managing bookings and dealing with all related administration including processing of payments using our online booking system. Also liaising with the numerous letting agencies that we advertise with in keeping our adverts with them up to date with availability/pricing/information and photos.
Located at our on-site reception, at Court Farm in Marhamchurch, the successful candidate will be the first point of contact in communicating with our guests in person and over the phone, and in answering questions regarding our facilities and local area.
The candidate will need to show experience of customer service roles as the job involves a great deal of interaction with guests, including welcoming them to the complex, nurturing them during their stay, encouraging repeat business & dealing with enquires via email, phone and in person.
Responsible for purchasing for the site, including cleaning products, welcome pack items, monitoring linen, towels, soft furnishing stock levels, liaising with housekeepers in issues that need addressing, such as repairs in the properties and generally having a keen eye for detail to ensure that the site is fully stocked and well maintained.
In addition, the role involves basic accountancy work, including collating invoices for payment, monitoring income & occupancy levels and purchase ledger.
The candidate will be required to organise the Housekeepers' rotas and wages and on changeover days, the role is hands-on in working with the housekeepers and ensuring linen and cleaning equipment is ready for them – getting all the towels washed and turned around, checking all cottages have all/any special requirements, eg, provision of cots, highchairs and other baby/toddler equipment that we provide upon request – all ready for the guests arrival.
Responsible for making sure that the reception and communal areas including, play area, tennis court and swimming pool are kept clean, tidy & maintained.
We run special events from time to time, such as Easter Egg Hunts, Pumpkin Carving competitions, so it would be beneficial if the candidate had an imaginative nature in order to organise, run and promote such events.
Hours vary between 18-28 per week. The Hours are flexible as there are busy and quiet times of the year and so the successful candidate needs to be able to manage their time efficiently._ The Ideal Hours we require are Mondays, (Tuesday or Wednesday) & Thursdays covering Reception & Administration between 9am – 1pm then every Friday and alternative Saturdays between 9am – 5pm (these days are essential as these are our main changeover days ) – when the focus Is on overseeing housekeeping, ensuring the site facilities are all in order and meeting and greeting new arrivals. As the school holidays are our busiest time of year, so it is preferred that the successful candidate does not take any significant time oƯ during the school holidays._
Day to Day Tasks:

* Updating listing details on numerous third-party agency websites
* Promoting Late Availability & Special OƯers on Social Media Platforms
* Creating Quarterly Newsletters to our subscribers
* Arrange & promote Special events for Events at Easter, Halloween, Christmas etc
* Updating our website
* Updating Guest Information Folders
* Analysing property booking performance using our online booking system
* Communicate eƯectively with the housekeeping staƯ when arranging rotas and arranging payment of wages
* Keeping the Reception area utility room and linen room tidy
* Assisting Housekeepers on changeover days by ensuring they have everything they need, plus collecting all
* the towels and turning around, using our onsite laundry facilities
Changeover Days:
* Seeing Guests oƯ, checking if any issues need addressing with the accommodation
* Ensuring all linen & cleaning boxes are full ready for the housekeeping team
* Oversee the cleaning and ensure that any special requirements are in the cottages ready for arrivals
