We are seeking a detail-orientated and proactive Sales Order Processing Co-ordinator to join our UK Operations team in Rugby.
This role is responsible for the accurate and timely processing of customer orders, acting as a key link between Sales, Operations, Aftersales, Logistics, and our customers. The ideal candidate will be customer-focused, organised, and able to thrive in a fast-paced environment with multiple priorities.
Key Responsibilities
Sales Order Management
* Process all customer sales orders on the ERP system (Oracle), ensuring accuracy of pricing, product configuration, lead times, and delivery requirements.
* Validate order documentation, ensuring all commercial terms, PO numbers, and internal approvals are in place.
* Manage order status throughout the lifecycle—order entry, amendments, invoicing, and closure.
Customer Communication & Service
* Act as the primary point of contact for order updates, dispatch status, delivery dates, and documentation.
* Maintain strong relationships with customers, ensuring a high standard of service and proactive communication.
* Handle order-related queries and escalate issues when required to ensure customer satisfaction.
Internal Collaboration
* Work closely with Sales, Operations, Aftersales, Warehouse, and Finance to ensure seamless workflow and on-time fulfilment.
* Liaise with the warehouse team to schedule shipments, raising picking requests and coordinating delivery documentation.
* Support the wider sales administration process including generating quotations and managing stock availability enquiries.
Data & Compliance
* Ensure accuracy of customer data, discounts, and pricing in line with company policies.
* Maintain records of order activity, backlogs, and delivery notes to support audit and month-end requirements.
* Support continuous improvement activities within order management and ERP utilisation.
Qualifications and Experience
* Prior experience in Sales Administration, Order Processing, or Customer Service roles, ideally within a manufacturing, rental, or distribution environment.
* Strong system and IT competency, with experience of ERP platforms (Oracle preferred) and MS Office (Excel proficiency essential).
* Excellent written and verbal communication skills, with the ability to communicate professionally with internal and external stakeholders.
* High attention to detail, especially with numbers, pricing, documentation, and data validation.
* Ability to work to deadlines, prioritise workload, and manage multiple orders simultaneously.
