Overview
A Personal Assistant is required to provide a comprehensive secretarial service to the Care Group Senior Management Team within the Rotherham Care Group. This will be an exciting opportunity to work alongside the current Personal Assistants, providing additional support to the Team.

Responsibilities
* Provide proactive, efficient and effective diary management for appointments and meetings (face to face or via Microsoft Teams), allowing sufficient time for Directors to fulfil their responsibilities. Where appropriate, delegate non-essential meetings to relevant members of the management team/direct reports.
* Review, sort, prioritise and respond to email correspondence, providing draft responses (where possible) and, in collaboration with allocated Directors, manage their email inbox to work more effectively with the Directors’ working pattern.
* Plan and reschedule meetings, organise multidisciplinary meetings, conferences and events as required.
* Undertake minute taking/transcription and agenda/paper collation for formal meetings where identified for governance or statutory compliance purposes, as required by the Director.
* Maintain and develop office systems and administrative processes involving IT systems; develop an extensive knowledge of administrative procedures to advise and support the directorate.
* Provide day-to-day administrative/secretarial support to the Care Group Senior Management Team; work alongside the Care Group Team Personal Assistants in relation to corporate activities within the Care Group, maintaining a high degree of confidentiality.
* Support the day-to-day running of the office across the function and deputise for PA colleagues as required.
* Identify and contribute to improvements/developments within the PA Admin Team (e.g., administration processes, flexibility of working arrangements, standard operating procedures).
* Adopt and share knowledge of technology; support the rollout of new/updated software (training provided).
Requirements and Skills
* Previous experience in a secretarial role supporting a senior manager is essential.
* Flexible, able to work independently and be proactive.
* Excellent word processing/typing skills; strong Microsoft Office experience (Word, Excel, PowerPoint, Teams) and familiarity with ESR system.
* Audio typing experience may be useful; ability to manage confidential information with discretion.
* Strong communication skills, the ability to work under pressure, prioritise in a busy environment and manage competing priorities.
* Be an information systems user as required (training provided) and champion the rollout of new software (training provided).
* Team player with positive, forward-thinking attitude; reliable, resilient and adaptable to change.
* Comply with Trust policies, procedures and protocols; maintain personal development and participate in mandatory training.
