An exciting new vacancy has arisen aligned to the continued growth of our Company for the role of: ADMINISTRATOR OFFICE - ALLOA Requirements: Provide administrative support to designated manager and field service teams & workshop team covering duties including but not limited to payroll, timesheet processing, credit card spend management, travel booking, invoicing and training coordination. Rota Day Scheme - work additional hours throughout the month to accrue an extra day off per month – an additional 12 days leave Skills Required: Attention to detail – required for Payroll, Timesheets, Navan (expense processing system), Invoicing, raising purchase orders, Holiday Requests, Training, etc. Time management/ability to prioritise workload – It is a fast-paced environment, with multiple deadlines and potential urgent requests Emotional intelligence – Out of control situations may arise, remaining calm and negotiable are key skills Computer skills – almost all tasks are completed via computer, requiring high IT skills in various software packages Problem solving – the nature of the role in a reactive engineering environment could have challenges in preventing tasks from being completed, the ability to be tenacious and find a solution to the challenge is a must. Work well with others – although the immediate team in the office is small it is coordinating and providing administrative support to a large field service team, being able to build remote relationships and working well with the team is key. Keen interest in AI - willing to experiment to find ways to save time using AI for everyday tasks Previous Experience Payroll Timesheet processing Accommodation / travel booking Raising purchase orders Processing invoices Coordinating mandatory training Managing credit card spend Desirable Accounting, payroll, or admin software using packages such as Infor M3 / ADP / Gel Training Solutions / Navan. Experience working with AI, understanding of effective prompts and its benefits. Working in an engineering / construction industry
