About The Role
To provide a range of administration support to the project team. To be responsible for the effective management of office facilities and supporting administrative resources.
What you'll be doing
* Develop and administer office management processes and systems to ensure the efficient and effective running of the office
* Monitor and manage desk allocation
* Manage the booking system for EV chargers
* Manage the office cleaning team
* Manage the booking of hotel accommodation and travel
* Check and process staff Monthly Overtime Claim Forms
* Manage the administration of caravan sites
* Work on Reception and welcome visitors
* Organise events on site as required
* Ensure the office is fully compliant with all security protocols and Health and Safety requirements
* Order office supplies and ensure a sufficient stock level is maintained and replenished as required
* Check that office equipment is in full working order and take immediate action to ensure any repairs are reported to the relevant internal/external provider
* Ensure statutory and communication notices are displayed and kept up to date
* Other ad hoc duties
* Live the Balfour Beatty Values
* Ensure a relentless focus on Zero Harm
* Support the delivery of Highways Sustainability activities
Who we're looking for
The Following Qualities/experience Are Essential
* Experience in managing a busy office environment and managing a team
* Experience in prioritising own/others’ work and of allocating and checking work
* Highly organised and able to work on own initiative
* Strong communicator able to communicate confidently with all level of colleagues within the business
* Excellent team working skills and able to build relationships at all levels
* Ability to work well under pressure and to tight timescales
* Very strong customer focus
* Good IT Skills including Microsoft Office (Excel, Word and PowerPoint)
