Enterprises Manager
Responsible To: Deputy Head External Relations / Director of Operations
Main Purpose of the job:
To be responsible for driving the commercial success of our school’s facilities. Managing and maximising revenue from activities outside the core educational function, you will secure bookings, actively market our facilities, and develop the volume of lettings, functions, and events at Ellesmere College in order to meet the School’s budgetary objectives.
* To ensure that all hirings are delivered in an effective and efficient manner.
* To provide term time support to the Admissions & Marketing department where appropriate
* To provide administrative support to the Director of Operations as appropriate.
Main Responsibilities and Tasks:
The following duties are examples of what the Enterprises Manager may be required to undertake, however this list is not exhaustive, and a degree of flexibility is expected in the performance of these and any other duties that may be required.
* Ensure that the College is receiving an appropriate number of enquiries relating to hires, but if this is not the case to be proactive in generating new business enquiries, including attendance at external events to promote the College, as agreed with the Deputy Head External Relations / Director of Operations.
* To develop a full suite of lets, including, residential, non-residential, sports, theatre, conferences etc.
* To aim for a strong revenue return on lettings, including non-term time residential lets.
* Deal promptly and efficiently with all enquiries relating to the hire of Ellesmere College.
* Identify and pursue new business opportunities which will provide financial benefit to the College.
* Ensure that the marketing profile of the lettings potential of Ellesmere College is well represented and to support the Marketing department if work needs to be done in this area.
* Conduct show-rounds to prospective customers highlighting the attractions and facilities of Ellesmere College and advising on the role that the College will take during their hire period. Careful consideration must be taken to ensure that the service to third parties is profitable, and, to this end, agreements of hire/contracts must be specific and drawn up in consultation with the Director of Operations.
* Effective liaison with members of the Operations Department to ensure the successful delivery of letting, function, hire or event.
* To be the main point of contact/event coordinator for all hires at the School.
* Recruit and induct any seasonal staff which are required to assist the letting function. The postholder must pay due regard to legal obligations on safe recruitment of staff in line with child protection regulations both during term time for all letting and non-term time for any lettings that provide a service to children.
* To ensure effective internal communication with all parties who may have an interest in hiring of facilities e.g. Housemasters, Housemothers etc. in a timely manner to plan effectively a mutually smooth transition of use.
* To ensure effective external communication which sends positive messages to potential customers and to utilise positive feedback from recent hiring’s to generally raise the profile of the College as a venue.
* Undertake all administration connected with the hire of Ellesmere College which will include maintaining a diary system, issuing of contracts and terms and conditions, and ensuring that financial procedures are being followed.
* Liaison with the Finance Department to ensure invoices are issued and payments are being received in a timely fashion.
* To ensure that all the necessary paperwork is in place to meet our legal obligations i.e. risk assessments, hire contracts etc.
* To conduct ongoing financial analysis to ensure that targets are being met and that individual events are profitable for the College. This may include benchmarking with other schools both inside and outside the Woodard Corporation.
* To conduct regular feedback/consultation with our customers to ensure that we are meeting their expectations and hopefully securing repeat business.
* To coordinate and promote a series of holiday courses.
* Provide some administrative/secretarial support to the Director of Operations as and when required.
* To undertake any other reasonable requests relating to school business/Enterprises as directed by the Deputy Head External Relations / Director of Operations or another member of the SMT.
Hours of Work:
The normal hours of work are 40 hours per week (school based). However, because of the duties and responsibilities of the post, a flexible approach is essential. There is a requirement to work in excess of the normal days and hours on occasion, with additional attendance being necessary beyond the standard times in order to welcome hirers to the School, oversee hires at the weekend and evenings and generally ensure the smooth delivery of events/hires. This will be offset during quieter periods through the term in consultation with line manager. The summer holiday period (July/August) will be a particularly intensive time.
