Job Description
Job Title: Part Time Installation Engineering Coordinator
Location: Estover, Plymouth
Reports To: Branch Manager
Primary Purpose of the Role
The Installation Engineering Coordinator ensures the smooth and efficient delivery of installation works while maintaining strong client relationships. Responsibilities include coordinating engineer schedules, ensuring teams have the resources required to complete work, and supporting the development of operational processes as the business grows. The role suits someone who enjoys learning, adapting, and taking on new responsibilities within a dynamic and expanding organisation.
Hours: Part‑time, 22.5 hours per week
Salary: £26,400 per annum (based on a 40‑hour week, pro‑rated)

Staff Responsibilities: Support the Installation Team as required, including holiday cover for the Service Coordinator.
Key Responsibilities
* Support the Branch Manager in maintaining a productive, engaged, and well‑organised office environment.
* Maintain regular communication with clients to support long‑term relationships and keep them informed of installation progress.
* Manage engineer diaries, schedule installations and after‑care visits, and issue welcome packs.
* Coordinate pre‑installation visits for engineers and sales personnel.
* Participate in installation and planning meetings to support efficient workflow and productivity.
* Update and maintain client records using SIMPRO and FieldMotion.
* Order equipment and materials required for engineers to complete installation works.
* Prepare job packs, compile weekly figures, chase outstanding quotes, and handle incoming calls.
* Produce quotes for parts and labour, and assist with typing quotations when required.
* Issue welcome packs and scan installation documentation into SIMPRO/FieldMotion.
* Liaise with engineers to support smooth project delivery and update project planners.
* Input new client information into FieldMotion.
Additional Administrative Duties
* Prepare installation paperwork and documentation.
* Enter new customers into FieldMotion.
* Schedule pre‑installation visits and after‑care audits.
* Maintain training logs, request training where required, and support apprentice development.
* Track installation progress and prepare for weekly installation meetings.
* Maintain project planners and ensure the delivery area remains organised.
* Monitor van stock levels and identify replenishment needs.
* Prepare toolbox talks, update server files, and scan documents as needed.
* Check PPE requirements and assist with weekly and monthly figure collation.
* Conduct plant, Tetra, and ladder checks.
* Book monthly engineer audits and complete monthly health & safety audits.
* Carry out monthly van checks and complete associated forms.
* Prepare and collate monthly timesheets.
* Support annual audits as scheduled.
* Complete customer care calls following service visits.
* Schedule installation handovers, including snagging reviews.
* Order equipment for Universal as required.
