Overview
We're looking for an Administration Assistant with at least two year's experience to provide support to the Studio Manager and become an integral part of team in a busy design practice with a studio in Clapham with some members of the team based in Scotland.
We are currently working on a range of private residential and commercial projects.
Responsibilities
To work closely with the Studio Manager and assist with the following:
· Have an overview of projects and the milestones & key deliverables.
· Participate in preparing project costing and resourcing FF&E items.
· Prepare, edit and copy check documents, spreadsheets and letters.
· Assist project leads with administrative tasks and document control.
· Update and maintain project management software Workflowmax.
· Maintain client and supplier database.
· Produce and issue weekly workload reports.
· Monitor time sheets and project resource.
· Front of house duties and answering incoming calls.
· Procurement of general office provisions.
Experience
At least 2 years' experience working as an administrator, familiarity or experience within design and architecture would be beneficial but not essential.
The successful candidate will have a combination of:
· A strong work ethic, which is demonstrated in your personal approach and also communicated to others.
· A good understanding of the values of a professional services firm.
· An attention to detail and the ability to provide support to the Studio Manager and the Design Team as required.
· A flexible and willing approach, along with good time keeping and a commitment to the role.
· Good at following things through to completion with consistency in all tasks.
· To be responsible for adherence to good written English, and presentation in all documents prepared by the studio.
· Take real pride in getting things right.
· Proficiency in Microsoft Office Suite and with Mac software.
· Able to multi-task and remain calm and well organised.
· A good team worker who will willingly and proactively help other when needed.
