Job Description:
Temporary Part Time Case Administrator
16 hours per week across 3-4 days
7 months assignment with a possible extension
£11.44 per hour (paid weekly)
Summary
The jobholder will provide administrative support within a government body, ensuring that staff and service users are supported through efficient processes, maintaining administration systems within specified timescales to promote team and Divisional objectives.
The role requires adherence to PS policies and procedures, demonstrating a commitment to equality and inclusion, with some out-of-hours work expected.
The post holder must maintain confidentiality and handle sensitive information appropriately.
Responsibilities, Activities & Duties
* Set up and maintain accurate offender and victim information on approved databases.
* Administer referrals and manage relationships between offender management, victims, interventions, service providers, and external agencies to promote positive outcomes, manage risks, and reduce reoffending.
* Prepare, maintain, and collate case records, files, and management information as per standards.
* Handle communications via telephone, paper, email, and provide reception services.
* Act as a single point of contact within the unit for specific areas as required.
* Interact fairly and effectively with service users, including those in crisis or displaying challenging behavior, seeking support when necessary.
* Arrange appointments and directions for Sentence Plan implementation.
* Perform enforcement administration tasks.
* Manage petty cash, vouchers, and warrants for travel costs, maintaining records per financial procedures.
* Organize equipment, materials, and facilities for case management activities.
* Report faulty equipment and arrange repairs or replacements.
* Maintain systems for resource management and suggest improvements.
* Carry out Visor administration tasks as per procedures.
* Attend and support meetings, including organizing agendas, notes, and action points.
* Follow Health and Safety policies, undertake equipment tests.
* Perform safeguarding duties in line with statutory responsibilities and policies.
* Model pro-social behavior, challenge anti-social attitudes.
The listed duties are current but not exhaustive. The role may include additional tasks of similar level, with adjustments discussed with the Job Holder. Successful candidates will undergo a vetting process lasting approximately ¾ weeks.
