Overview
We are seeking a highly organised and proactive Office and Facilities Manager to oversee the day-to-day operations of our venue and facilities. The successful candidate will play a crucial role in ensuring a smooth and efficient working environment for our team. This position requires strategic thinking, hands-on problem-solving, and excellent communication skills.
Responsibilities
Facilities Management:
* Oversee the maintenance and cleanliness of the venue.
* Coordinate repairs and facility improvements.
* Coordinate the Housekeeping Team
* Manage relationships with vendors, contractors, and service providers.
* Ensure compliance with health and safety regulations.
Reception:
* Receive and greet all visitors to the union, ensuring a pleasant experience for everyone.
* Parcel receipts and distribution
* Telephone calls.
* Internal events, study room allocation and management.
Membership Secretary:
* Database management and IT maintenance
* Emails and correspondence management
* Coordination of accommodation and travel bookings
* Poster printing and other administrative support for the student committee
Supplies and Inventory:
* Procure and manage office supplies, furniture, and equipment.
* Monitor inventory levels and reorder as necessary.
* Negotiate with suppliers to ensure cost-effectiveness.
Security and Access Control:
* Implement and maintain security protocols for the office.
* Manage access control systems and ensure a secure working environment.
Budget Management:
* Develop and manage the facilities budget.
* Identify cost-saving opportunities without compromising quality.
Collaboration with Departments:
* Work closely with various departments to understand their facility needs.
* Address specific requirements and provide solutions to enhance departmental workflows.
Sustainability Initiatives:
* Implement and promote sustainable practices within the venue.
* Identify opportunities for waste reduction and energy efficiency.
Qualifications
* Proven experience in office and facilities management or Bachelor's degree in facilities management, business administration, or a related field.
* Strong knowledge of building systems, security, and health and safety regulations.
* Excellent organizational and multitasking abilities.
* Effective communication and interpersonal skills.
* Proficiency in using facility management software and MS Office Suite.
* Ability to work independently and make decisions in a fast-paced environment.
Job Types: Full-time, Permanent
Pay: £29,416.80 per year
