Job Description
New Homes Admin Manager
Mayfair, London | Monday–Friday, 9am–6pm on-site
£30,000 – £40,000
Are you someone who thrives on structure, coordination and making complex projects run smoothly behind the scenes?
We’re partnering with a globally recognised luxury property brand known for representing some of the most prestigious new-build developments in the UK and internationally. Their New Homes division works closely with top-tier developers, agents and internal teams to bring high-value residential projects to market seamlessly – and they’re now looking for a New Homes Admin Manager to be the operational glue holding it all together.
This is a highly visible role where accuracy, communication and follow-through genuinely matter.
The Role
You’ll sit at the heart of the New Homes operation, owning the end-to-end administration, coordination and CRM accuracy of multiple developments, from project onboarding through to post-sale completion.
What you’ll be doing
Project Onboarding & Launch
* Coordinate new development onboarding from day one, ensuring all project details, documentation and processes are fully captured and validated
* Act as the main point of coordination between developers, internal marketing, sales and admin teams
* Support kick-off meetings, operational alignment, reporting formats, booking processes, SLAs and escalation paths
* Manage a clean handover from onboarding into BAU with no gaps or confusion
Developer & Stakeholder Coordination
* Be the day-to-day operational contact for developers once projects go live
* Structure communications clearly with action logs, approvals and deadlines
* Drive follow-ups across internal teams and ensure commitments are realistic before anything is confirmed externally
Marketing & Asset Management
* Own marketing coordination for all New Homes projects
* Maintain and version-control all project assets including brochures, price lists, unit details, FAQs, floorplans, visuals and links
* Ensure everything aligns with the latest developer approvals and inventory updates
Agent Enablement & Support
* Support and train agents on project processes, CRM standards, booking workflows and project-specific rules
* Act as first-line support for operational queries and escalate where needed
* Ensure agents provide complete, accurate data for listings, enquiries and reporting
CRM & Data Accuracy
* Monitor daily activity across enquiries, viewings, bookings and follow-ups
* Maintain high data discipline across enquiry stages, SLAs and ownership
* Manage live inventory status, pricing, incentives and availability with absolute accuracy
Sales Closing & Reporting
* Own the post-sale process: CRM updates, inventory changes, internal notifications and reporting accuracy
* Maintain a closing checklist to ensure no steps are missed
* Ensure dashboards and reports reflect true, real-time data
What they’re looking for
* Experience in property administration, new homes, residential sales support or operations
* Strong CRM experience with exceptional attention to detail - Salesforce desirable
* Confident coordinating multiple stakeholders including developers, agents and internal leadership
* Highly organised, proactive and comfortable managing competing priorities
* Clear communicator who enjoys problem-solving and bringing order to complexity
Why this role?
* Work within a premium, high-performing property brand with an exceptional reputation
* Exposure to some of the UK’s most exciting new residential developments
* A role with real ownership, visibility and long-term progression potential
If you love being the person who makes things work, this is a brilliant opportunity to step into a pivotal role within a best-in-class New Homes team.
