About the Role
This position provides essential support to the Office Manager and the engineering/management teams within our busy Plymouth office. You will assist with the coordination of bid submissions for exciting projects, support day‑to‑day office operations, and help run events. Reception duties and ensuring visitors are welcomed positively are key components of this role.
* Manage incoming calls, greet visitors, and action email enquiries.
* Diary management, including organising internal/external meetings and booking ad‑hoc travel and accommodation.
* Stationery and office stock ordering and management.
* Prepare creative content and coordinate bid responses.
* Ensure punctuality of submissions as per tender processes and deadlines.
* Maintain Hoare Lea brand standards.
* Support key tender portals, registrations, digital marketing channels, and update company information.
* Provide general administration support to engineering teams and coordinators, including proof‑reading, preparing and formatting reports and ad‑hoc documents.
* Work collaboratively with the wider office and central teams.
About You
* Excellent IT skills (MS Outlook, Word, Excel and PowerPoint).
* Attention to detail, prioritisation and organisational ability.
* Good team spirit, confidentiality and integrity.
* Confident communicator in written and verbal form.
* Strong interpersonal skills with commercial awareness.
* Calm, patient disposition and ability to manage a high volume of work.
* Experience in digital marketing/marketing is beneficial.
* Experience in formatting, reviewing and proofreading materials.
* Previous Administrator role with industry knowledge is desirable.
* Coordinating onboarding for new starters.
