Overview
We are looking for a motivated and detail-focused individual to join our Resource Systems Team, supporting the effective delivery of the Trust's rostering and resourcing systems. This role plays a key part in ensuring that our workforce information is accurate, well-managed and readily available to support operational decision-making across the organisation.
As a Resource Systems Support Officer, you will help maintain and develop our rostering systems (including the Global Rostering System, GRS), provide high-quality administrative and data support, and assist with resource-related projects. You will act as a key point of contact for queries, liaising with internal teams and external providers to resolve issues promptly and ensure data integrity. This is an excellent opportunity for someone with strong organisational skills, confidence working with data, and a commitment to accuracy.
Main duties
* Provide administrative and data support to ensure the smooth running of the Trust's rostering and resourcing systems.
* Maintain accurate records in the Global Rostering System (GRS) and other resource-related platforms.
* Handle and resolve routine queries from staff, managers and external providers, escalating issues when needed.
* Produce routine reports and data extracts to support operational decision-making.
* Assist with resource-related projects, audits and process improvements.
* Liaise with external partners, including private ambulance services, to resolve data discrepancies.
* Organise and prioritise daily workload, responding flexibly to changing demands.

Job responsibilities
Main responsibilities:
1. Communication and Relationship Skills
The post holder will provide and receive routine information requiring tact or persuasion, communicate resource support procedures to staff and other departments, and prepare for the effective delivery of the Trust's resource systems. The post holder will handle queries received via email, MS Teams and/or telephone relating to GRS activities, and liaise with internal colleagues and external private Ambulance services (PAS) to support administration of resourcing information and invoices.
2. Knowledge, Training and Experience
The post holder will be proficient in using electronic data recording systems and demonstrate experience in data entry with a strong commitment to accuracy. They will assist in the analysis, collection and tracking of resourcing information, organise meetings and notes, and produce routine reports using bespoke and Microsoft Office software (e.g., exporting/importing data from GRS, updating data in Excel, and processing data in Skillstream).
3. Analytical and Judgement Skills
Responds to staff and managers queries, makes judgements on referrals for complex queries, and records information related to staffing (e.g., on-call rotas). They will assess data from multiple sources, resolve and refer enquiries regarding EMAS resources, review PAS invoices for accuracy, and support audits related to resources and GRS.
4. Planning and Organisational Skills
The post holder will organise day-to-day work based on service priorities and assist with routine activities that may vary with workload.
5. Physical and Other Requirements
Data entry at a keyboard/VDU; occasional lifting and handling of equipment; home working; occasional travel within the East Midlands region may be required.
6–16. Other areas
The role includes duties related to policy and service development, financial and physical resources, human resources, information resources, research and development, freedom to act, physical/mental/emotional effort, and working conditions, all in alignment with Trust policies and procedures. Qualifications and Experience
* Essential – GCSE level or equivalent; ongoing professional development
* Experience – experience with Excel and database use; administration experience
* Desirable – database management; working knowledge and experience of GRS; advanced Excel use

* Proficiency in Microsoft Teams, Office, Word, Outlook, Excel; PowerPoint knowledge
* Strong verbal and written communication; problem-solving and keyboard skills
