Administrative Assistant
Location: Knockbracken Healthcare Park, Belfast
Hours: Mon – Fri, 9am – 5pm
Pay rate: £12.31

We are recruiting for an Administrative Assistant, this is a vital role providing direct support to Approved Social Workers and Mental Capacity staff across Belfast. You'll manage sensitive information, coordinate critical documentation, liaise with healthcare professionals, and act as a first point of contact for service users and stakeholders.
Key Responsibilities:
* Act as the first point of contact for calls, emails, and in-person queries from staff, professionals, external agencies, and members of the public.
* Manage incoming referrals, screen documentation, and ensure timely allocation to appropriate teams.
* Use key systems such as Microsoft Office (Word, Excel, Access), SharePoint, PARIS, ECR, PAS, and Encompass to track, manage, and upload sensitive data.
* Send decisions, reports, and case updates to internal teams, Trusts, the Review Tribunal, RQIA, and the Attorney General’s Office within strict timeframes.
* Maintain electronic filing systems in line with data protection and records management policy.
* Support Trust Panels with coordination, documentation, and outcome communication.
* Provide administrative support for short-term detention processes, Trust authorisations, and governance reporting.
Essential criteria:
* 2 years’ recent admin experience.
* At least 1 year’s experience using Microsoft Word, Excel, Outlook, Access, and PowerPoint.
* Excellent communication skills, both verbal and written.
* Strong organisation, time management, and attention to detail.
* Ability to work on your own initiative while also contributing to a wider team.
