Recruiting for a Finance & Administration Officer in Belfast.
Responsibilities
* To maintain the necessary financial systems, manage and monitor spend, manage budgets, funding/finance, and complete monthly, annual, and other required returns.
* Maintain computerised and manual financial records and ledgers and manage PAYE and pension system, cheque journals, e-banking, debit card policy and accounts, petty cash, and financial information related to the work.
* To work closely with the operations manager on budget management and apportionment of funds as required.
* To work with the Treasurer to prepare financial reports for the Board of Directors and prepare monthly and Annual Accounts.
* Assist the Afterschool Manager to ensure invoices are prepared and recorded in line with Mariners' requirements.
* Liaise with all project staff regularly regarding all funds applied for, all incoming funding, and monitoring of spend against targets.
* To maintain and prepare records and documents required for the release of monies from room hire and potential fundraising, etc.
* Develop and improve office procedures and information recording systems.
* To operate and manage the general email address for Castle Community Trust, sharing information as appropriate.
* To manage the booking system for the centre.
* To attend team and board meetings and other relevant meetings as required to take/distribute minutes. Prepare finance reports, agendas, and distribute to appropriate parties for meetings as needed.
* To assist callers to the CCT offices. To help with the recruitment of volunteers and monitor client use of the centre.
* To process and record incoming/outgoing telephone calls and post and relay messages to appropriate people.
* To monitor and order office goods and services, seeking quotes as appropriate, and to ensure that all materials, equipment, etc. are stored and used in line with the Health and Safety Policy.
* To ensure the offices are manned and accessible to the general public at all times.
* To contribute to fundraising applications through assisting with information/layout and presentation of applications and development of finances, projections, and budgets.
* To assist in the setup and running of activities for the centre, including making bookings, setting up rooms for training or activities, organizing training and events/seminars, workshops, and conferences.
* Participating in relevant and appropriate training.
* Attending staff meetings as required.
* Undertaking such other reasonable duties as may be required from time to time.
* To operate safely in the workplace.
* To carry out all duties with discretion and confidentiality.
* To attend supervision sessions with the designated Line Manager and prepare a work report for the same, and undertake any relevant training
Skills and Qualifications
* Candidates must be educated to RSA Stage three or above, or have at least three years’ paid experience in a financial and/or administrative role.
* Must have financial/funding and administration background.
* Professional Finance Qualification.
* Experience of working for a charity.
* Experience in preparing funding returns.
