Role

HR Administrator (Fixed Term Contract of 1 Year - maternity cover)

Working Hours: Monday – Friday; flexible timings discussed during the interview


Overview

We are seeking a detail-oriented and proactive HR Administrator to join our HR team for a fixed term of 1 year. This role is designed for individuals who are organized, efficient, and possess strong administrative skills. The successful candidate will be supporting various administrative functions to ensure smooth operations within the office.


Responsibilities

* Excel Spreadsheets and data entry.
* Scanning and filing of documents.
* Organize and update employees personnel files, ensuring all necessary documents are collected, updates databases, and creates guidelines and FAQ documents about company policies.
* Preparing HR documents.
* Maintain strict confidentiality of all employee data.
* Handle incoming calls, emails and correspondence, ensuring timely responses and proper routing of inquiries.
* Supporting staff recruitment processes, liaising with candidates and scheduling of interviews.
* Coordinate appointments, meetings, and events, including preparing agendas and taking minutes as required.
* Maintain accurate records by entering data into databases and spreadsheets, ensuring information is up-to-date and easily accessible.
* Prepare, format, and proofread documents, reports, and presentations as needed.
* Assist colleagues with various administrative tasks to enhance team productivity.
* To carry out any other duty that is appropriate to the level of the post as may be assigned from time to time by your line manager.


Requirements

* Proven work experience as an HR Administrative or relevant role.
* BS in Human Resources or relevant field.
* Experience with HR software, like HRIS or HRMS
* Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office equipment (printers, copiers).
* Strong organizational skills with the ability to prioritize tasks effectively.
* Excellent verbal and written communication skills.
* Attention to detail and problem-solving abilities.
* Ability to work independently as well as part of a team.
* Reliable, trustworthy & punctual.
* Flexibility if overtime is required.


Working Conditions

* The role may involve occasional overtime or flexibility in hours depending business requirements.
* Work will be conducted in an office environment.
