JOB DESCRIPTION Job Title: Clerical Assistant with Reception Duties (3-month post) Hours: 37 hours per week (In Office Only) Salary: Salary range £19,240 to £23,492 About Us We are the regulator for pharmacies, pharmacists and trainees in Northern Ireland, providing modern, effective pharmacy regulation, ensuring healthier communities throughout Northern Ireland. Purpose To contribute to the smooth operation of the organisation by providing entry level administrative support and assisting with reception duties, undertaking all duties with a high level of accuracy, efficiency and professionalism. Essential Criteria Conversant with the Microsoft suite. Organised, ability to multitask, determined to succeed in a professional office environment, always willing to help and learn new skills. Good timekeeping, pleasant manner and a positive attitude to work. At least 5 GCSEs (grade C or above) including Mathematics and English. Previous experience in a professional office environment or similar role is preferred but not essential. Key Duties Scanning of hard copy files to electronic filing system (priority task) Managing the reception area to ensure it is tidy and presentable Answering and redirecting incoming calls, dealing with queries as appropriate Meet and greet visitors Raise purchase orders Assisting finance with matching invoices to purchase orders Monitoring levels of office consumables and ordering stock when required Coordinating incoming and outgoing courier services. Photocopying and binding Manage post (incoming and outgoing)and two departmental email inboxes Set up and clear down of meeting rooms Providing refreshments to visitors Booking of conferences and training as requested Liaising with contractors, managing office equipment and arranging for repairs Managing and updating databases and records, as requested Coordinating office events and meetings Assisting the Business Support Coordinator with onboarding new employees Assisting the Senior Registration Coordinator with various administrative tasks Coordinating with IT for technical support and equipment setup Assisting with budget tracking and expense reporting for general office expenses, as required by the Business Support Coordinator Assisting with the implementation of office policies and procedures, as requested by the Business Support Manager Administrative cover for annual, maternity, sickness leave, etc, as required.
