Overview

Superb career opportunity for an FM Tech Supervisor & / or Lead FM / Engineer to step up into this exciting new role. Static site - Monday to Friday in a dynamic, high energy environment.


Responsibilities

* To have management and overall responsibility for the client property in line with Health and Safety, environmental, company procedures, related general legislation and client/tenant requirements.
* Ensure adherence to budgetary costs and customer service standards.
* Customer: Develop and maintain excellent client relationships, ensuring high standards of service and attending client meetings as applicable.
* Prepare, control and monitor the service agreement in accordance with the client's budgetary agreement.
* Regularly monitor key performance indicators and take remedial action to maintain and improve standards for the full range of buildings.
* Manage major work programmes on site and act as liaison for all parties involved.
* Produce management reports as required by the business.
* Liaise with the building manager and procurement department to compile external contracts and ensure procurement aligns with Company policy.
* Monitor FM works onsite and liaise with service providers/sub-contractors.
* Ensure a work order is in place for all jobs completed by the site team prior to work commencing.
* Attend daily/weekly/monthly meetings as formally agreed and requested.
* Manage day-to-day customer relationships with site team (Senior Technicians & Area Manager).
* Communicate any changes to site scope & services to the Contract Manager.
* Help prepare quotes for additional subcontractor works and upload quotes for Client Approval.
* Coordinate approved additional works with subcontractors up to £30k (greater than £30k classified as project).
* Identify opportunities for continuous improvement and inform Contract Manager / client.
* Ensure the fabric of the building is maintained and serviced to a high standard in accordance with the management contract and budgets.
* Provide solutions to issues that arise and support ad-hoc activities as needed.


QHSE & Compliance

* Be responsible for all health and safety compliance onsite, including third party services providers and maintenance records.
* Compile and maintain all required management information/records relating to company, health and safety and related records (asset register, emergency plans, management reports).
* Ensure fire and other evacuations are carried out regularly and that emergency plans and site maps are updated.
* Liaise with local authorities as appropriate and proactively manage risk and insurance matters on site.
* Work with the on-site planner to provide input into planning/scheduling and WO allocation.
* Manage work order compliance and ensure the site team follows QHSE procedures, including PPE provision, use and inspection.
* Ensure monthly Client/Contractor checklists are completed; complete dynamic risk assessments for jobs not covered by company risk assessments.
* Escalate if work is requested outside of the agreed site scope.
* Conduct toolbox talks and safety spotlights; ensure weekly hazard reporting with timesheets.
* Complete QHSE & AGM audits with actions within timeframes; produce incident/root cause analyses for learning.


People

* Manage the site team to ensure appropriate cover and escalate as needed (engineer holidays, sickness, parental leave, etc.).
* Obtain customer approval for all engineer & FC overtime; ensure it is charged back.
* Approve engineer timesheets and ensure submission to helpdesk by 09:00 Monday morning along with hazards.
* Be the first point of contact for engineer pay issues; coach engineers on timesheets and helpdesk contact.
* Conduct monthly 1:1s, manage performance, recognise successes, and share stories.
* Ensure inductions and ongoing QHSE & training are up to date; assign and track training per the company matrix.
* Log innovations and improvements; assist with recruitment and inductions for permanent and agency staff.
* Attend Contract Manager, FM & all-hands meetings/calls.


Subcontractors

* Oversee third-party contracts to ensure service standards align with contract; manage Avetta supplier compliance and work orders.
* Request RAMS from subcontractors two weeks before due visit date and submit for approval at least 48 hours prior to service visit.
* Notify subcontractors of planned visit dates with the Contract Manager; ensure client passes and full site induction are completed before work commences.
* Ensure subcontractor logbooks comply with Company/Client procedures and demonstrate this at audits; read subcontractor worksheets and escalate issues to the Contractor Manager.
* Liaise with subcontractors on reported defects and monitor performance per client/Company procedures.


Person Specification / Requirements

* Ideally a formal relevant technical C&G or equivalent qualification.
* Previous supervisory experience within a client environment, including line management for Company personnel and contractors and management of service agreements.
* Excellent customer service, interpersonal and communication skills.
* IT literate with experience of industry-specific IT applications.
* Strong knowledge of Health and Safety legislation and environmental protection; ideally IOSH or NEBOSH qualified.
* Analytical skills with the ability to work in a team or independently under pressure, with strong organisational and planning abilities.
