Job Summary

Due to continued growth and transformation, Aion is looking to appoint a part‑time HR Manager to own and deliver day‑to‑day people operations across the employee lifecycle, while supporting managers with practical, proportionate guidance.


Job Description

Role Title: HR Manager

Hours of Work: 20 per week, worked flexibly across a minimum of 3 days

Location: Hybrid, with at least 1 day per week from our office in Coleshill

Reports to: CEO of Aion


Organisational Context

Aion is a business unit within Volaris Group. We build the software that powers university timetabling — the civic infrastructure that shapes the rhythm of learning, kept running by the often‑invisible experts who make every term, lecture and exam fit together.

Aion brings together Celcat in the UK and Bullet Solutions in Portugal: a focused software business that timetables education around the world, and part of Volaris Group’s international portfolio of vertical market software companies. Volaris provides the group infrastructure (HR systems, governance frameworks, reporting standards and learning programmes) while Aion operates with local accountability, aligned to group standards and systems.

We are an AI‑first organisation, and we’ll help you get up to speed with tools like Copilot, ChatGPT and Claude Cowork.

This role suits a commercially minded HR professional who can balance strategic thinking with practical delivery. You will be comfortable operating in an environment where priorities evolve, processes continue to mature, and collaboration across teams is essential.

You will help create clarity, alignment and momentum across the business whilst ensuring our people practices remain pragmatic, scalable and people focused.


Key Responsibilities


People Operations and Compliance

* Maintain contracts, policies and HR documentation
* Ensure compliance with UK employment law, and coordinate to meet local Portuguese requirements
* Manage onboarding and offboarding processes end to end
* Oversee payroll inputs in coordination with Finance
* Administer benefits and liaise with providers
* Maintain accurate employee data within Group systems such as Workday
* Ensure timely completion of Group reporting cycles


Recruitment and Onboarding

* Coordinate recruitment processes with hiring managers
* Ensure consistent job descriptions and interview practice
* Manage candidate communications and documentation
* Deliver structured onboarding aligned to Group standards


Employee Relations and Manager Support

* Handle day-to-day employee relations matters proportionate to a small business
* Support managers with early-stage performance, conduct and capability matters
* Provide clear documentation and process guidance
* Escalate complex cases to the CEO or Volaris Group HR as appropriate


Systems and Group Alignment

* Act as the primary liaison between Aion and Volaris Group HR
* Ensure disciplined use of Workday and other Group platforms
* Support headcount, attrition and compliance reporting
* Coordinate participation in Group learning and leadership programmes
* Translate Group best practice into practical local application


Skills and Experience

* HR generalist experience in a small or scaling organisation
* Good working knowledge of UK employment law
* A track record of independently running HR operations
* Confidence supporting managers on practical people matters
* Experience using structured HR systems (Workday an advantage)
* CIPD Level 3 or equivalent experience


Desirable

* Experience in a software or technology environment
* Portuguese language skills
* Familiarity with Portuguese employment law
* Experience operating within a Group reporting structure
