Job Title: Executive AssistantType: 6 Month Fixed Term ContractSalary: £34,000 - £36,000Location: Belfast, Hybrid About: We are currently seeking a highly organised and proactive Executive Assistant to provide senior-level support within a fast-paced, professional services environment.This role will involve supporting a group of senior stakeholders, ensuring the smooth day-to-day management of their schedules, communications, and business activities. The successful candidate will act as a trusted partner, operating with discretion, initiative, and a strong understanding of business priorities.Key Responsibilities:Executive Support & Diary ManagementProvide comprehensive, proactive support to senior stakeholdersManage complex and ever-changing diaries, ensuring effective prioritisation of commitmentsCoordinate meetings across multiple time zones, including virtual and in-person arrangementsPrepare meeting materials, agendas, and follow-up actionsTravel & LogisticsArrange detailed domestic and international travel, including itineraries, accommodation, and visa requirementsManage logistics for internal and external meetings, events, and business visitsEnsure seamless coordination of stakeholder movements and schedulesCommunication & Stakeholder ManagementAct as a key point of contact for internal and external stakeholdersManage and prioritise incoming communications, responding or escalating as appropriateDraft professional correspondence, reports, and presentationsMaintain strong relationships while ensuring a high standard of service deliveryProject & Administrative SupportAssist with project coordination, tracking progress and providing updatesPrepare high-quality documents, presentations, and reports using Microsoft OfficeSupport business development activity, including preparation of materials and maintaining accurate recordsContribute to process improvements and more efficient ways of workingClient & Business SupportMaintain accurate client and stakeholder information in relevant systemsSupport the delivery of client-facing activities and ensure a high standard of professionalismAssist with events, including planning, logistics, and budgeting Experience Required:Demonstrable experience as an Executive Assistant, Executive Support, or similar, providing support to Senior Leadership (Partners/ C-Suite Equivalent) within a professional services environmentExceptional organisation and time management experience, ability to think ahead and prioritise workloadAbility to build effective and trusting working relationships IT Literate, skilled with Microsoft Office Suite Applicants must be based in Northern Ireland with full rights to work unrestricted in the United Kingdom.Please contact Ellen at Staffline Recruitment Ireland for further detail.
