Corporate Executive Assistant A leading organisation based in Mallusk, who provide support to children, young people, and families, are currently seeking a Corporate Executive Assistant to join their team. This is a Full-Time, Permanent Position. Working hours: 37.5 standard working hours (hybrid). With a salary of £25,614 per annum. Job Role: You will be responsible for providing professional administrative support and assistance to the Corporate Directors within the Strategic Leadership Team and support the Executive Team as required. Essential Criteria: A minimum of 2 years' professional experience of providing administrative support to Senior Manager(s). A recognised and relevant level 3 qualification e.g. Administration, Secretarial or Personal Assistant. ICDL qualification or equivalent. IT proficient with advanced use of Microsoft packages, to include - Outlook, Word, PowerPoint, Teams and Excel. Excellent communication skills both written and verbal - with the ability to communicate with stakeholders at all levels. Ability to manage and prioritise a busy workload while adhering to strict deadlines. Full driving licence valid for use in UK and Ireland and access to use of a car, with appropriate business insurance, in order to provide transport to Service Users (please note relevant business insurance will be required on commencement of employment). Desirable Criteria: Understanding/knowledge of the voluntary sector in both NI and RoI. Recognised Secretarial qualification. Main Duties and Responsibilities: Support the Executive Team in administrative duties and running of the Executive office. Support, organise, and prepare agendas for and taking minutes of board and committee meetings. Deal with correspondence, collate information and prepare reports, ensuring decisions made are communicated to the relevant stakeholders. Contribute to meetings discussions as and when required. Support Corporate Directors administrative duties as required. Assist the Executive Team in the management of external and internal communication. Undertake general administration duties including preparation of reports, paperwork, filing, archiving, faxing, photocopies and answering telephone calls. Manage Corporate Director diaries. Source and book travel and accommodation for Corporate Directors. Update and maintain manual and computerised files (including Access and Excel) on a daily basis and provide detailed statistics as requested. Receive, transmit, store and retrieve manual and electronic records/information, ensuring accuracy, integrity, comprehensiveness, timeliness and security. Assist with organisation of external/internal events/conferences etc. Attend and participate in internal and external meetings as required. Develop and maintain appropriate professional relationships with colleagues and stakeholders. Provide annual leave/sickness cover for Executive Team members. Provide administrative support to Committees and Board Meetings. Provide administrative support (when required) to the HR Department in relation to Employee Relations issues. Carry out any other duties reasonably requested by the organisation.
