Synechron is looking for an Office Manager to join their Belfast office. At the heart of this sociable and growing team (70+ and expanding!), the role is pivotal to the smooth running of the office on a day-to-day basis. Working closely with senior management, clients, and colleagues, the role offers variety with a focus on building a strong office environment.

With multiple events throughout the year and the opportunity to take on PA support to the BU Head, the role is fast-paced and challenging. It would suit someone exceptionally organized who is keen to get involved in all aspects of office life.

Responsibilities

1. Greet and provide general support to visitors and clients
2. Ensure the office is well maintained and equipment is ordered in a timely manner
3. Organize and manage office moves
4. Assist with planning meetings
5. Organize events such as Town Halls, Diwali and Christmas parties, client visits, and other events
6. Answer phone calls, provide information, or connect to appropriate people/team
7. Receive and forward posts to relevant team
8. Schedule appointments and update calendars
9. Be the first point of contact for new joiners and transfers, and assist HR with induction
10. Manage office supplies and ordering
11. Manage office cleaners/cleaning contracts
12. Ensure the office complies with all health and safety legislation
13. Liaise with suppliers and vendors regarding orders, invoices, and deliveries
14. Assist with monthly credit card reconciliation
15. Make travel arrangements and reservations for senior managers
16. Compose and type regular correspondence, such as invitations and informational material
17. Develop and maintain a filing system
18. Create spreadsheets and presentations
19. Provide statistical and budget reports

Job requirements

1. Work experience as an Office Manager/Assistant seeking the next career step
2. Event management skills
3. Hands-on experience with MS Office
4. Experience liaising with office landlords and maintenance
5. Working knowledge of office equipment like printers and laptops
6. Excellent verbal and written communication skills
7. Strong organizational and time management skills
8. Approachable, high attention to detail, and good common sense

Office presence: Due to the nature of the job, four days per week in the office are preferred.
