HR Administrator (2 positions)
Salary: £31,052 (FTEbased on 36.5 hours)
Location: Cambridge, St Edmunds College
Contract type: Permanent, Part Time (2, 3 or 4 days a week) 15 hours to 29.2 hours
We are looking for two proactive, organised, and people‑focused HR professionals to join our team. This is a varied and rewarding role supporting the full employee lifecycle from recruitment and onboarding to employee relations, training coordination, and day‑to‑day HR operations. Job responsibilities
Recruitment & Resourcing
* Manage recruitment for operational roles (Administrators, Porters, Housekeepers, etc.).
* Draft job adverts and advise managers on job postings.
* Screen and shortlist candidates as required.
* Coordinate interviews, including invites, room bookings, and task preparation.
* Issue rejection and feedback communications.
* Maintain and monitor recruitment trackers and campaign progress.
* In the absence of HR Admin 2, provide administrative support to recruitment processes.
* Track DBS checks, visa expiries, and probation review dates.
Onboarding & Leavers
* Complete onboarding administration, including contracts, right‑to‑work checks, folder setup, Jackdaw setup, and reference requests.
* Add new starters to the HRIS and send welcome emails and packs.
* Highlight reasonable adjustment requests to HR Admin 2, the HR Officer, or the HR Manager.
* Draft offer letters and support HR inductions.
* Manage leaver administration, including leaver letters and system updates.
* Conduct exit interviews and record outcomes.
HR Operations & Advisory
* Respond to routine HR queries and direct staff to appropriate policies or contacts.
* Provide guidance to managers and staff on HR policies, procedures, and employment terms.
* Manage the HR inbox, ensuring timely and accurate responses.
* Administer contract variations and maintain accurate HRIS records.
* Add absences to the HRIS and support data accuracy across the system.
* Support the administration of the appraisal process.
* Manage the probation review process, escalating concerns to the HR Officer or HR Manager.
* Collate and review job descriptions as required.
* Support with staff wellbeing events and initiatives.
* Administer baby leave processes.
Employee Relations Support
* Support ER casework (absence, performance, grievance, disciplinary) up to stage 1.
* Draft formal correspondence, case documentation, letters of concern, and PIPs.
* Communicate effectively with internal and external stakeholders.
Learning & Development
* Coordinate mandatory training and maintain accurate training records.
Reward, Benefits & Data
* Prepare pay review and bonus letters.
* Support benefit administration.
* Assist with data requests, including the College's annual survey.

* Confidence communicating with staff at all levels.

* Experience in HR administration or recruitment.
* A commitment to delivering a high‑quality HR service.
* Strong time management.
* Experience with the creation and manipulation of reports.
Desirable Attributes
* Experience of working within a collegiate university environment.
