Responsibilities
* Coordinate and supervise general services on the project site (internal logistics, accommodation)
* Manage relationships with external suppliers, monitoring contracts, invoices, deadlines, and service levels
* Become the primary point of contact in the absence of the HR Coordinator for on-site personnel, responding promptly to HR-related queries or requests for clarification
* Update the HR Schedules to reflect the current mobilization plan status
* Address and accelerate recruitment and immigration procedures to prevent delays in staff mobilization
* Maintain accurate employee records according to the document management process
* Support the organization of office space and workstations based on staff onboarding/offboarding
* Communicate with the client on behalf of the Project Management Team regarding contractual agreements like the submission of CVs and the Personnel Assignment Authorization Form (PAAF) in collaboration with Project Control Department.
* Manage both digital and paper-based archiving of employee documentation (contracts, payslips, certificates, mandatory documents)
* Handle internal requests for office supplies, equipment and IT support in collaboration with the procurement and IT departments
Qualifications
* Experience: 3–5 years as HR support or similar admin coordination tasks within a fast-moving project environment
* Education: CIPD Level 3 or higher or university degree
* Technical knowledge: GDPR basics, employee documentation organization
* IT skills: MS Office (Excel), archiving systems, basic SAP
