Administrator and PA to the QUB Chaplain (Maternity Leave Cover)
Location: Derryvolgie Hall, Derryvolgie Avenue, Belfast, BT9 6FP
Council: Council for Mission in Ireland
Hours of Work: 20 hours per week, flexibly across 3 or 4 days
Salary Scale: A4 – £13.83 – £15.93 per hour (under review)
Responsible to: The Secretary of the Council for Mission in Ireland (through the Derryvolgie & Elmwood (DVEA) Management Panel)
Reports to: The QUB Chaplain
Main function: Day‑to‑day administration and financial management of Derryvolgie Hall and the Chaplaincy Centre, Elmwood Avenue, Belfast, ensuring efficient running, including health and safety. Coordinate student activities, support students/residents, assist the Chaplain, liaise with contractors, maintain records and inventories, manage finances, and provide receptionist duties.
Responsibilities and Duties
* Carry out all administrative and financial duties for the day‑to‑day running of Derryvolgie Hall and the Chaplaincy Centre.
* Act as a Personal Assistant to the Chaplain.
* Prepare relevant reports for the CMI Finance Manager and other committees, monitoring expenditure against budget.
* Collect, secure and bank all monies and accommodation fees.
* Assist in processing all applications and admissions, both term time and vocational.
* Assist the Chaplain in managing Derryvolgie Hall during vacation periods.
* Maintain all records relating to the Hall and the Elmwood Avenue Chaplaincy Centre, including financial, residents, insurance, service and maintenance contracts, health and safety, environmental health, incident notes, etc.
* Maintain an inventory of equipment and ensure it is maintained to required standards.
* Liaise with contractors responsible for service agreements.
* Notify the DVEA Management Panel of maintenance and refurbishment programmes, cost and implementation.
* Process all conference/seminar applications.
* Update website content and social media platforms as appropriate.
* Provide receptionist duties and basic hospitality for visitors to the Hall.
* Provide appropriate support to students and residents as required.
* Ensure compliance with relevant Health and Safety regulations in Derryvolgie Hall and the Chaplaincy Centre.
* Perform any other duties reasonably required by the Chaplain.
Required Criteria
* OCR (RSA) Stage II Word Processing or equivalent qualification.
* Competent in Microsoft Office.
* Minimum of 5 GCSEs (A–C), including English and Maths, or equivalent.
* Proven ability to create, edit and update information on social media platforms and websites.
* 1 year of experience in administrative tasks.
* Experience in diary management using Microsoft Outlook.
* Experience working and communicating with young people in third level education.
* Commitment to working within the Christian ethos of the Presbyterian Church in Ireland and Council for Mission in Ireland.
* Availability for flexible hours, including evenings and some weekend work.
Desired Criteria
* Knowledge of relevant health and safety legislation.
* Experience dealing with the public.
* Experience managing petty cash and programme budgets.
* Experience working with staff deployed on service and maintenance contracts.
* Experience organising meetings and providing hospitality for groups of varying sizes.
