Overview
Office Manager: We are seeking a highly motivated and organised Office Manager to oversee all administrative duties and support for our recruitment team. The ideal candidate will be the heart of our office, ensuring a positive and productive environment. This role combines administrative expertise with people management in a fast-paced environment.
Responsibilities
* Oversee day-to-day running of the business.
* Manage recruitment staff; delegate tasks to ensure timely completion.
* Monitor competence and ensure targets are met.
* Inspire recruitment staff to maintain high quality standards and achieve business objectives.
* Ensure adherence to all compliance guidelines, agency policies and procedures, and a seamless recruitment process; ensure staff training is up to date.
* Handle complaints and queries in a timely manner.
* Seek feedback on staff performance and quality of care.
* Implement and maintain office administrative systems and procedures.
* Ensure smooth running of payroll each week, including timesheet checks/processing and timely resolution of payroll issues with agency staff and payroll/finance teams.
* Maintain working systems that support efficient teamwork.
* Ensure data on computer systems is up to date, relevant and secure.
* Lead ongoing recruitment of suitable candidates with appropriate skills and experience.
* Organise interview, induction programmes and in-house training.
* Oversee seamless Agency Worker registration, including Enhanced AccessNI and NISCC checks; seek appropriate references.
* Ensure agency workers’ supervision/appraisal is completed within stipulated timeframes.
* Maintain accurate records and sound record keeping for clients and agency workers.
* Lead in seeking and securing contracts with Nursing Homes, Care Homes, Residential Care Homes, Supported Living, Hospitals, etc.
* Seek and secure permanent placements for Overseas Nurses & Healthcare Assistants.
* Lead marketing and advertising efforts to develop the business via social media; compose adverts and stand-out posts.
* Oversee that monthly reports (including RQIA reports such as monthly quality monitoring) are completed accurately.
* Maintain traceable stock levels of uniforms and stationery.
* Draw up an on-call rota.
* Set, chair, and attend meetings.
* Maintain good relations with clients and agency staff.
Qualifications / Experience
* A minimum of 5 GCSEs at A–C, including Mathematics and English, or relevant NVQ Level 2.
* Bachelor’s degree in business management; HNC/HND or equivalent in an administrative field with 2 years’ clerical/administrative experience.
* Healthcare background/experience; NVQ level 3 in administration with 2 years’ experience; BTEC qualification with 2 years relevant experience; or two (2) years relevant work-based experience in healthcare administration or recruitment.
* Use of Microsoft Office applications (Excel, Outlook, Word) essential.
* Sound geographical knowledge of Northern Ireland for business opportunities.
* Ability to work to Performance Indicators and Targets; adaptable.

Working Hours
Monday – Friday, 9:00–17:00. On-call duties may be required. 30-minute lunch break.
Candidate Requirements
* Good English; experience as an Office Manager and in Administration roles.
* Available on weekends; driving licence and own vehicle preferred.
