Position Overview: The HR Administrator will provide essential administrative support across the full employee lifecycle. This role ensures efficient onboarding, accurate employee data management, timely response to employee queries, and reliable coordination of HR processes. The HR Administrator will also play a key role in supporting the migration to a new HR Information System (HRIS) and maintaining compliant digital filing and record-keeping practices.
Key responsibilities:
Onboarding & Employee Lifecycle Support
· Prepare and issue employment contracts, offer letters, and starter documentation.
· Coordinate pre‑employment checks including right-to-work verification and references.
· Set up new starters on HRIS, payroll, and relevant internal systems.
· Support probation, contract changes, promotions, and offboarding processes.
· Maintain an up-to-date onboarding tracker and ensure a smooth new-starter experience.
HR Administration & Compliance
· Maintain accurate and compliant employee records in line with GDPR requirements.
· Manage digital and physical HR filing systems, ensuring documents are correctly stored and easily accessible.
· Assist with preparing HR letters, reports, and documentation.
· Support policy updates and version control.
Employee Query Management
· Act as the first point of contact for general HR queries from employees and managers.
· Provide timely responses or escalation where needed.
· Maintain a log of frequently asked questions, helping improve HR processes and self-service.
HRIS Implementation & Data Management
· Support data cleansing, verification, and migration to the new HRIS.
· Assist with testing workflows, building templates, and reviewing system accuracy.
· Upload documents, check permissions, and maintain data integrity post‑launch.
Recruitment Support (as needed)
· Provide administrative assistance to the Recruitment Coordinator during busy periods.
Requirements
Essential
· Previous experience in an administrative role (HR experience desirable but not essential).
· Strong organisational skills with excellent attention to detail.
· Ability to handle confidential information with professionalism and discretion.
· Strong written and verbal communication skills.
· Confident using Microsoft Office (Word, Excel, Outlook).
· Ability to prioritise competing tasks and meet deadlines.
· Approachable and people-focused.
· Proactive, adaptable, and eager to learn.
· Strong problem-solving ability with a can-do attitude.
· Comfortable working in a fast-paced environment with evolving priorities.
Desirable
· Experience using HR systems or supporting HRIS implementation.
· Understanding of GDPR and HR compliance requirements.
· Experience in onboarding or recruitment administration.
· Interest in developing a career within HR.
