The ICH Senior Secretary will provide a high-quality and efficient secretarial and administrative service to Director and Assistant Director level staff within the Medical Directorate. The role requires the post holder to plan, prioritise, and monitor their workload to ensure accuracy and timeliness, while maintaining confidentiality at all times. They will be the first point of contact for internal and external stakeholders, manage senior diaries, support committee functions, and supervise junior administrative staff where required. This role demands excellent organisational and communication skills, a proactive approach, and the ability to manage sensitive information in line with Trust policies Key Duties & Responsibilities Administrative & Secretarial Support Draft, type, and format correspondence, reports, and official documents to a high professional standard, including audio typing. Manage diaries for Directors/Assistant Directors, scheduling meetings, preparing agendas, and ensuring senior staff are fully briefed. Monitor and respond to emails and general correspondence, taking appropriate action or redirecting as required. Manage telephone calls and enquiries, prioritising urgent issues and ensuring effective communication across the organisation. Ensure all documents and records are produced and stored in line with legislation and Trust procedures. Committee & Meeting Support Provide full administrative support to committees and working groups, including: Circulating agendas and supporting papers. Taking minutes/notes and producing accurate records. Monitoring and progressing follow-up actions. Coordinate arrangements for workshops, events, and corporate meetings, including hospitality and logistics. Office & Information Management Devise and maintain office systems, including filing, document storage, information tracking, and brought-forward (BF) systems. Ensure effective management of confidential information and compliance with Data Protection and Records Management policies. Use Microsoft Office (Word, Excel, PowerPoint, Outlook) to prepare professional reports, presentations, and databases. Verify invoices (e.g. for travel, accommodation, hospitality) and monitor departmental expenditure relating to administrative activities. Order and maintain adequate supplies of stationery and office consumables. Staff Supervision Supervise and delegate work to junior administrative staff, ensuring deadlines and quality standards are met. Provide guidance, coaching, and training to less experienced staff. Participate in recruitment and selection panels where appropriate. Contribute to staff appraisals and development reviews, identifying training needs and supporting continuous development.
