Duties include: The HR administrator is a highly responsible and supportive role, helping the HR team with administrative tasks and front line advice relating to all employees, across the employee life cycle including: System administration – data entry, maintenance, and reporting. System development – streamlining and digitalising internal processes Creating, maintaining and archiving employee files Leaver processing and arranging & completing exit interviews Advising on policies and procedures Recruitment & onboarding: Responsible for the administration relating to the sign off of new resource requests Responsible for candidate tracking for open vacancies in PeopleHR and intranet Act as first point of contact for agencies and hiring managers for recruitment related activity Liaise with hiring managers regarding job adverts Support hiring managers over the course of the recruitment lifecycle Inform employees when new job opportunities are available via PeopleHR; forward and keep track of referrals and internal applicants Provide regular recruitment updates & MI Preparation and issue of new starter paperwork Co-ordinating recruitment activity and acting as agency liaison for all roles across the organisation Candidate screening and vetting in line with regulatory requirements Ensuring the coordination of on-boarding and induction Monitoring probation periods Job description library maintenance HR Team Administration: Process all employee related admin Assist with improving HR processes and documents, including those that relate to hiring, termination of service, and payroll administration, when required Set up and maintain HR processes, including documenting this in process maps Maintain team S drive folders and other HR documents shared with wider business – ensuring documents are up to date and easily accessible Manage team whereabouts email Arrange for payment of invoices Arrange team meetings Obtaining sign off for employee changes Performance review process co-ordination and monitoring Arranging logistics for training courses Support the HR team with continuous improvement Systems: Develop and manage PeopleHR & LRN in response to solutions arising from our People strategy and BAU activity with the help of IT Develop and implement new processes as well as streamlining and automating existing processes Ensure the integrity of data to enable the business to make informed decisions in relation to our employees Identify improvement opportunities and flag risks to appropriate parties Communicate changes and system updates to wider business Act as SME in relation to systems queries and coach/support HR team and wider business with knowledge upskill and transfer HRMI Build and run reports in the HR systems- People HR/LRN Prepare and provide HR MI to different departments as required Produce MI data Provide HR reports to ensure we meet our statutory and internal requirements Produce ad hoc requests as required Working with the payroll team: Provide monthly payroll information Provide notification of employee benefits’ scheme membership Process Parent leave, sickness absence and other leave requests and notifications Requirements for the role Key attributes Uses own initiative and loves administration & being organised Has a positive ‘can-do’ attitude.
