HR Administrator. Media. 3 days per week. Up to £38K FTE. Hybrid (Remote/West London) This exceptional HR opportunity to join a People Director in a small HR team will not be available for long, so apply soon. The Role Our client is looking for an experienced HR Administrator to perform a variety of administrative tasks in supporting the People Director and the HR function. Main responsibilities will be ensuring effective administration of the employee life-cycle from start to finish. Key responsibilities Effectively and seamlessly complete the administration of the onboarding and offboarding processes from start to finish. Advertise job adverts, ensuring effective communication with the People Director and hiring managers. Set up interviews and issue relevant correspondence. Book meetings, meeting rooms, security passes and parking permits when required. Check and log right to work in the UK for new starters. Complete reference requests. Maintain the recruitment mailbox. Communicate successful probation letters and associated benefits upon successful completion. Benefits administration of all new joiners, employee changes and leavers. Maintenance of the HR data spreadsheet. Processing of employee change letters and admin support for offer letters and contracts of employment. Ensure internal compliance with all HR policies and procedures. Update and create organisation charts when required by People Director. Support in coordinating annual Events Calendar as part of the HR/People Wellbeing strategy. Format emails, presentations, reports when required. Participation in HR projects. Act as point of contact for basic HR employee related queries, ensuring efficient and effective communication. Take minutes for necessary employee relation meetings. Organise and maintain the Human Resources online filing system. Plan and organise workload, ensuring prioritisation of key activities and deliverables as agreed with the People Director Look for opportunities to continually improve HR practices and administration and present appropriate suggestions/solutions to the People Director HR Systems Timetastic (absence management system) - Administration and updating of employee holiday and sickness records on the absence management system (Timestastic) and associated employee related queries. Bobs Business (Compliance training system) - Administration of Bobs Business Compliance training system. Provide MI reporting to People Director on completion rates when requested and suggest upcoming courses to roll out to all staff. LMS (Learning Management system) - Go-to person on how to use the system. - Research external learning management systems/platforms for ideas on any potential updates or improvements to the system in order to get the best take up of users. - Provide any suggested changes/updates to People Director. - As the system is built in-house and constantly evolving, research courses to be added to LMS library. - Ensure as part of new joiners inductions they receive training on how to use the system. - When required schedule LMS session updates with departments. The Candidate Experience as an HR Administrator. Excellent MS Office knowledge. Excellent organisation and time management skills. Excellent verbal and written communications skills. Discretion and confidentiality. Ability to work autonomously without guidance. Active listening skills and ability to absorb information. Excellent attention to detail. Experience of data entry into HR databases. Knowledge of UK employment law. The Terms This role is being offered on a art time basis of 3 days (or equivalent) per week. 1 full day (minimum) per week to be spent in their West London office (this would be a Monday). The role is paying up to £38K FTE* depending on skills and experience and would require an ASAP start. Wellbeing support such as counselling and discounted gym membership.
