The H.W Kaufman International HR Team is responsible for all HR related matters outside of N. America. We are a team of 6 and are responsible for all companies within the group, namely Burns & Wilcox, RB Jones and Atain.
This position is a maternity cover for up to 12 months. We are looking for someone who is able to start quickly and definitely no later than the end of April.
The HR Administrator provides high level support to the HR team by ensuring seamless administrative processes, a consistent employee experience, and efficient support for staff across all business functions.
HR Support:
* Be the HR Support representative to all employees across the group.
* Assist the HR Team on strategic projects and ad hoc tasks, helping to execute initiatives across the company.
* Work closely with the HR Team to foster an environment within the company that promotes a collaborative, caring, hardworking and successful culture for all the staff to enjoy, with a focus on staff well-being based upon a core set of company values which all staff must demonstrate.
* Prepare and amend letters, contracts, and reports.
* Manage HR related invoices.
* Build and maintain strong relationships with stakeholders both internal and external
* All other general HR admin and support that may be requested by the HR department in order to meet the operational needs of the department.
Recruitment Support:
* Support HR team in preparing job descriptions for internal and external distribution.
* Produce standard employment contractual documentation.
On-boarding & Off-boarding:
* Initiate and oversee the pre-employment screening process, including setting up future joiners on the HR and IT systems, monitoring progress and responding to queries.
* Facilitate the on-boarding process, including ensuring all relevant documentation is obtained from future joiners.
* Respond to new joiner queries and escalating, where appropriate, to HR Team.
* Plan and hold HR inductions for new joiners.
* Facilitate the off-boarding process by preparing leaver letters, advising IT via the IT system, arranging exit interviews, and producing standard and regulatory references for leavers.
Employee Records Management:
* Ensure the HR system (HiBob) is accurate and up to date at all times, including new joiners and staff changes.
* Oversee probation period reviews, ensuring that managers complete and document them in a timely manner.
* Run reports from the HR system, when required.
* Ensure confidentiality and compliance with data protection regulations.
In addition, the jobholder may be required to perform other duties assigned by their Line Manager, as required by the needs of the business.
Knowledge and experience required
* HR administrative experience, ideally a couple of years to have gone through a company's annual HR cycles and embed knowledge.
* Experience of a growing and changing environment and be comfortable in that setting.
Skills
* Previous experience in an HR administrative role
* Basic knowledge of employment laws and regulations.
* Strong awareness of the need for utmost confidentiality and discretion.
* Experience of and strong interest in HR systems. (Experience of HiBob advantageous).
* Very good knowledge of Excel and spreadsheets, Word and PowerPoint.
* Excellent verbal and written communication skills.
* Proactive, well-organised and self-motivated, with good time management skills.
* Excellent attention to detail.
* Ability to work under pressure and able to work to critical deadlines.
* Able to act on own initiative.
* Competent in the use of relevant business and insurance technology systems; Outlook, Word, Excel, Teams
