Job Title: Executive Assistant
Type: 6 Month Fixed Term Contract
Salary: £34,000 - £36,000
Location: Belfast, Hybrid
About:
We are currently seeking a highly organised and proactive Executive Assistant to provide senior-level support within a fast-paced, professional services environment.
This role will involve supporting a group of senior stakeholders, ensuring the smooth day-to-day management of their schedules, communications, and business activities. The successful candidate will act as a trusted partner, operating with discretion, initiative, and a strong understanding of business priorities.
Key Responsibilities:
Executive Support & Diary Management
1. Provide comprehensive, proactive support to senior stakeholders
2. Manage complex and ever-changing diaries, ensuring effective prioritisation of commitments
3. Coordinate meetings across multiple time zones, including virtual and in-person arrangements
4. Prepare meeting materials, agendas, and follow-up actions
Travel & Logistics
5. Arrange detailed domestic and international travel, including itineraries, accommodation, and visa requirements
6. Manage logistics for internal and external meetings, events, and business visits
7. Ensure seamless coordination of stakeholder movements and schedules
Communication & Stakeholder Management
8. Act as a key point of contact for internal and external stakeholders
9. Manage and prioritise incoming communications, responding or escalating as appropriate
10. Draft professional correspondence, reports, and presentations
11. Maintain strong relationships while ensuring a high standard of service delivery
Project & Administrative Support
12. Assist with project coordination, tracking progress and providing updates
13. Prepare high-quality documents, presentations, and reports using Microsoft Office
14. Support business development activity, including preparation of materials and maintaining accurate records
15. Contribute to process improvements and more efficient ways of working
Client & Business Support
16. Maintain accurate client and stakeholder information in relevant systems
17. Support the delivery of client-facing activities and ensure a high standard of professionalism
18. Assist with events, including planning, logistics, and budgeting
Experience Required:
19. Demonstrable experience as an Executive Assistant, Executive Support, or similar, providing support to Senior Leadership (Partners/ C-Suite Equivalent) within a professional services environment
20. Exceptional organisation and time management experience, ability to think ahead and prioritise workload
21. Ability to build effective and trusting working relationships
22. IT Literate, skilled with Microsoft Office Suite
