Personal Assistant, £29,085 £33,121 per annum, Belfast Hybrid Overview A leading public body is seeking to appoint a highly professional and experienced Personal Assistant to provide full end-to-end support to the Head of Professional Conduct. This is a varied and fast-paced role, requiring a high degree of discretion, trustworthiness, and professionalism. The successful candidate will act as the first point of contact for internal and external stakeholders, managing sensitive information and ensuring the smooth delivery of a wide portfolio of administrative, organisational, and project support functions. Key Responsibilities Provide comprehensive executive support to the Head of Professional Conduct, ensuring the effective discharge of their duties. Proactively manage a complex and dynamic diary, exercising tact and diplomacy. Act as the primary point of contact for the department, handling correspondence and queries with discretion. Assist with the preparation and delivery of presentations, reports, and projects of a confidential and often sensitive nature. Provide administrative support for Committees, including preparation and distribution of agendas/papers, attendance at meetings, minute taking, and follow-up correspondence. Maintain accurate and secure document and data management systems, implementing improvements where necessary. Coordinate and minute regular internal and external meetings. Organise travel arrangements and maintain associated expense records for senior staff. Manage communications received via shared and individual email inboxes, ensuring effective prioritisation. Support compliance with ISO 9001:2015 standards, data protection legislation, and other quality management systems. Undertake any other duties as reasonably required to support departmental objectives. Essential Skills & Experience Minimum of 5 GCSEs (including English and Maths) at Grade C or above, plus A-Level standard (or equivalent). At least 5 years experience as a PA or in a senior administrative support role, reporting directly to senior management within a professional, public, or private sector organisation. Proven ability to manage sensitive and confidential matters with discretion. High level of IT competence, including MS Office (Word, Outlook, Excel, PowerPoint) and audio/digital dictation. Experience in the use and development of Audio-Visual platforms (Zoom, MS Teams, GoToWebinar). Strong organisational skills, with experience managing committee/board administration (papers, agendas, minutes, follow-ups). Experience maintaining and updating CRM systems or equivalent. Excellent written and verbal communication skills, with strong attention to detail. Knowledge of data protection requirements and their practical application. Desirable Experience working at senior level in a PA/administrative capacity within a public body or professional organisation. Familiarity with ISO standards or equivalent quality management systems. Experience using software such as DecisionTime, OneDrive, or similar.
