JOB PURPOSE: The postholder will provide key administrative support across the HR function, managing employee lifecycle documentation, responding to HR queries, and ensuring compliance with policies and legal requirements. They will also support recruitment activity during peak periods. KEY RESPONSIBILITIES : HR Administration Monitor and manage the HR inbox, triaging and responding to queries promptly and professionally. Provide accurate and timely administrative support throughout the employee lifecycle, including: Probation reviews/ letters Employment contracts and contract changes Resignation acknowledgements and leaver processing Payroll changes and notifications Reference requests Exit Interviews Maintain employee records on the HRIS and ensure documentation is stored securely and in compliance with GDPR. Assist with drafting letters, forms, and templates related to employee matters. Support the administration of employee benefits and absence management processes. Organise and maintain HR files, ensuring that digital and physical records are current and well-structured. Assist in producing reports as required (e.g. turnover, absence, onboarding). Support the administration of employee engagement initiatives such as Winning Temps" and wellbeing campaigns, including data collation and internal communication. Handle confidential and sensitive information with professionalism and discretion. Schedule HR-related meetings, note take where necessary, and support project-based work. Recruitment Support (as required) Post job advertisements across relevant platforms. Coordinate and track compliance checks (e.g. right to work, DBS clearance) in line with internal procedures. Maintain accurate recruitment records and applicant tracking. Prepare and issue new starter documentation. Support completion of pre-employment checks. Create employee profiles on HRIS Provide admin support for high-volume recruitment campaigns (e.g. flu vaccination programme). Ensure clear and timely communication with candidates and hiring managers. EXPERIENCE/SKILLS: Experience in an admin role (HR Admin role preferably) Ideally CIPD Level 3 but not essential. Conversant with Microsoft 365. Experience in high-volume recruitment. Familiarity with applicant tracking systems (ATS) and HR software. Working in a fast-paced environment. Attention to detail and a commitment to maintaining data accuracy. Juggling competing demands effectively and managing own workload and priorities. Ability to handle sensitive and confidential information with discretion. Excellent interpersonal and communication skills. Establishing strong working relationships with colleagues and hiring manager.
