Luxury Watch Office Admin Manager / Host
Immediate start available, must be based in Belfast area
We are a Belfast based Luxury watch sales business who have the worlds largest social media presence in the industry, buying and selling watches all over the world with fantastic brands like Rolex, Patek Philippe, Audemars Piguet, Omega, Cartier and more.
We began in 2019 and have a fantastic luxury watch boutique situated in the heart of the 5 star Merchant Hotel on skipper street, our showroom can be found inside what used to be the old bank Vault from the Ulster Bank Headquarters back in the day.
We also have a fantastic 5 star office in Belfast City Centre where this job will be based, as is most of our now 15 staff members. From here we conduct most of our business by buying and selling Luxury watches with clients from all over the world as well as hosting clients and business partners day to day.
We also have created our own in-house studio here for our media team who are responsible for maintaining our YouTube channel which is now the biggest watch channel in the world with over 1.9 Million Subscribers. Our Instagram page has over 155k followers and our owner and CEO Nico, face of the YouTube channel has over 400k IG followers, as well as over 1m on TikTok.
We have a young, energetic team with huge aspirations and goals to conquer the Luxury watch market, and we are well on our way.
We now currently need an experienced Office Admin Manager to support our team and help deliver an exceptional customer experience. The ideal candidate will be someone who has bags of energy, enthusiasm, a great team player and capable of adapting in a growing role with great opportunity.

Job Purpose:
Our Office Admin Manager Ensures the proper flow of office procedures and supports the business by carrying out all administrative office duties. This individual is the first point of contact at our headquarters in Belfast and responsible for ensuring we deliver a exceptional client experience.
Your responsibilities will include but will not be limited to:
* Reports to the Managing Director
* Manage and communicate our distribution and collection services with courier partners, UPS/RM/FedEx/DHL etc. Updating tracking info to clients and ensuring they are packaged and sent out efficiently worldwide
* Records updated daily and reports created
* Communicates with relevant clients / business partners to update and organise repairs, services, shipping, orders and enquiries
* Arranges meetings by scheduling appropriate meeting times, booking rooms, and planning refreshments
* Manages correspondence by answering emails and sorting mail
* Drafts, formats, and prints relevant documents
* Creates agendas and takes meeting notes
* Storage and security of all confidential data and ensure GDPR practices are followed
* Inventory and website updates as and when required. Liase with brand partners on orders etc
* Adhering to company policies at all times
* Continually striving for self-improvement and forward suggestions to improve the efficiency of the services provided
* Deliver an exceptional customer experience through all channels including email, telephone, social channels and face-to-face
* Ensuring quality housekeeping and efficient set up in office for the team and clients
