We are currently recruiting for an Admin Officer based in Belfast. The successful candidates will be required to start once the vetting paperwork, ANI clearance has been completed.
Start date: ASAP
Duration: 6 Months with a possibility of extension
Rate of pay: £13.75
Hours of work:
9-5 Monday-Friday however the post may require longer hours dependent on business need. Minimum of 4 days in office, Friday is usually work from home.Key Responsibilities:
Daily interaction via email, telephone calls and face to face interaction with Officials, Ministers, Special Advisers, MLAs, local representatives and members of the public. To provide administrative support to Private Secretaries, Special Advisers and Diary Secretaries in the co-ordination of the work of the Private Office. Printing, scanning and records management of Ministerial papers as required. Updating Ministerial papers and decisions on the Knowledge Network (KN) system as appropriate and updating and maintaining the tracking systems. Financial administrative tasks including the preparation of required finance returns including creating purchase orders and processing of invoices as required. Assisting the Diary Secretaries with themanagement of the First Minister, deputy First Minister and Junior Ministers’ diaries as required; ensuring that Ministers’ daily schedule runs smoothly, appropriate briefings are in place, shared with relevant staff and printed in a timely fashion, and all logistical details are covered e.g. accommodation, travel, catering etc Please note this list is not exhaustive.Provision of any other support to Private Offices and ad hoc administrative duties as required to include printing/shredding, stationery orders etc.Essential Criteria applicants must have:.
Proof of 5 GCSE including English and Maths Grade C or above of the equivalent
Excellent IT skills, including use of Microsoft Word and Excel.
Excellent communication skills.
Proven ability to use own initiative.
