Amazon Studios is seeking a senior Exec Support / Program Manager role for Amazon Studios Theatrical Marketing department. We are looking for an experienced partner who can drive operational excellence, supporting a key executive as Amazon sets up a new Theatrical Marketing department. The ideal candidate will demonstrate business acumen, discretion, leadership capabilities, and the ability to influence across multiple stakeholder groups. They will have a wide scope of work - spanning administrative duties to managing strategic instances (conventions/conference coordination, for example). Due to the international nature of the role, day to day working hours will vary and out of hours response will be required. Key job responsibilities Key job responsibilities - Proactive in calendaring by working with others to ensure highly complex meetings, synchronize across all indaviduals and execute smoothly - Manages all travel arrangements (domestic and international) including complex multi-day meeting set-up, logistics, lodging, transportation, meals - Proactively collects documentation for all expense reports - Schedules highly confidential / sensitive meetings and manages confidential documents and information - Build and maintain strong relationships with internal teams (e.g., Distribution, Finance, PR) and external partners, including agencies and talent - Design and implement efficient operational processes and systems - Oversee and coordinate high-profile events and internal communications - Design and implement comprehensive onboarding programs for senior leaders and team members joining the new International Theatrical Marketing department. Partner with HR and Recruitment to ensure smooth onboarding processes and compliance with regional requirements - Create and maintain departmental knowledge bases, operational playbooks, and standard operating procedures - Coordinate cross-functional integration between the new department and existing teams - Facilitate cultural alignment and team building activities for the growing department - Support the establishment of new workflows and communication channels specific to theatrical marketing operations - Track and report on department scaling metrics and onboarding effectiveness - Organize training sessions and department-wide meetings to align on theatrical marketing initiatives - Support the development of departmental organizational structures and reporting structure Basic Qualifications - Knowledge of Excel (Pivot Tables, VLookUps) at an advanced level and SQL - Experience defining program requirements and using data and metrics to determine improvements - Experience in program or project management - Experience in senior level leadership support - Experience handling confidential information and maintaining professionalism in dealing with senior executives, or experience with end-to-end project management - Experience with executive level calendar management Preferred Qualifications - Experience leading process improvements - Experience in stakeholder management, dealing with multiple stakeholders at varied levels of the organization - Experience building processes, project management, and schedules Amazon is an equal opportunities employer.
