Role: HR Administrator (Fixed Term Contract of 1 Year - maternity cover)
Working hours: Monday – Friday (flexible; discussed with interview)
Overview
We are seeking a detail-oriented and proactive HR Administrator to join our HR team for a fixed term of 1 year. This role is designed for people who are organized, efficient, and possess strong administrative skills. The successful candidate will support various administrative functions to ensure smooth operations within the office.
Key Responsibilities
* Excel spreadsheets and data entry
* Scanning and filing of documents
* Organise and update employee personnel files, ensuring all necessary documents are collected, updating databases, creating guidelines and FAQ documents about company policies
* Preparing HR documents
* Maintain strict confidentiality of all employee data
* Handle incoming calls, emails and correspondence, ensuring timely responses and proper routing of inquiries
* Support staff recruitment processes, liaising with candidates and scheduling interviews
* Coordinate appointments, meetings and events, including preparing agendas and taking minutes
* Maintain accurate records by entering data into databases and spreadsheets, ensuring information is up-to-date and easily accessible
* Prepare, format and proofread documents, reports and presentations as needed
* Assist colleagues with various administrative tasks to enhance team productivity
* Carry out any other duty appropriate to the level of the post as assigned by the line manager
Requirements
* Proven work experience as an HR Administrator or relevant role
* BS in Human Resources or relevant field
* Experience with HR software such as HRIS or HRMS
* Proficient in Microsoft Office (Word, Excel, PowerPoint) and familiarity with office equipment (printers, copiers)
* Strong organisational skills with the ability to prioritise tasks effectively
* Excellent verbal and written communication skills
* Attention to detail and problem-solving abilities
* Ability to work independently and as part of a team
* Reliable, trustworthy and punctual
* Flexibility if overtime is required
Working Conditions
* Role may involve occasional overtime or flexibility in hours depending on business requirements
* Work will be conducted in an office environment
