Personal Assistant - Northern Ireland Audit Office
Location: Belfast, Northern Ireland
Hours: Full-time, Monday to Friday
Pay rate: £15.81 per hour
Contract: Temporary
Role summary
As the Personal Assistant you will be confident in minute taking and the use of MS packages such as Excel, Outlook, and Word. You will be proficient in daily use of spreadsheets and databases and will conduct typing and word-processing duties as necessary. Role purpose: primarily diary/calendar management and email inbox monitoring and management to include dealing appropriately and promptly with correspondence and follow up for the senior leadership team.
Main duties and responsibilities
* Provide administrative support to the full Senior Leadership Team comprising the Comptroller and Auditor General, Chief Operating Officer and 6 Directors.
* Managing diaries and arranging meetings.
* Dealing with telephone calls, emails and correspondence promptly including appropriate follow up and redirection.
* Providing administrative support to the Comptroller and Auditor General, Chief Operating Officer and 6 Directors as required including drafting responses to correspondence and data collation.
* Taking minutes at various meetings.
* Supporting events and meetings with setup, arrangement and hospitality as required.
* Full word processing, spreadsheet and database service.
* Photocopying and providing hospitality as appropriate.
* Maintaining and updating knowledge by identifying training and development needs, updating skills and attending relevant training courses as agreed with manager.

Requirements
* A minimum of 5 GCSEs at grade C or above to include English Language.
* At least one year's experience of personal assistant/executive assistant duties supporting senior management, gained within the last 5 years.
* Knowledge and practical experience of word processing, spreadsheets and databases.

The rate of pay is £15.81 per hour, working 37 hours per week.
