Job Description:

Job purpose:

HR shared services provides timely and efficient recruitment services to multiple organisations throughout the NHS. The Customer is at the heart of everything that we do, and the post-holder is required to deliver a professional and quality experience. You will be responsible for the accurate recording and maintaining sensitive information during various stages of the recruitment process, using your customer service skills to keep recruiting managers and applicants up to date throughout.

Working as part of a team, you must be flexible, adaptable and prepared to quickly move between competing tasks and duties to achieve delivery of great service. Possess high levels of communication and customer service skills, as well as the ability to handle multiple processes in an organized manner. You will be as passionate about delivering an excellent customer experience as we are.

In this role, you are accountable for:

General Duties

* Provide advice on HR Shared Services processes and support to internal and external recruiting managers, line managers, candidates, and employees using verbal and written methods via telephone, e-mail, and webchat.
* Follow agreed processes and standard operating practices to ensure consistent service is provided to clients and customers.
* Provide, receive, and deal on a daily basis with sensitive and confidential information/personal staff.
* Work to targets, ensuring all KPIs and SLAs are fulfilled in line with client agreements.
* Maintain confidential personnel records in line with GDPR.
* Act as part of a team to develop new administrative procedures.
* Promote and implement the authority's equal opportunities policies in all aspects of employment and service delivery.
* Contribute to a culture of continuous improvement and service excellence by adhering to procedures and suggesting improvements.

Service areas include:

Recruitment Team:

* Utilize recruitment systems and tools to manage the process from advert to onboarding, including advertising, shortlisting, interviewing, offers, and pre-employment checks, in accordance with KPIs.
* Manage delegated vacancies to meet recruitment standards.
* Provide back-office support to the query team and respond to second-line emails.

Query Team:

* Provide first-line support and guidance to managers, candidates, and staff via phone, web chat, email, and HR systems.
* Handle general enquiries, routine analysis, and investigations, showing empathy and seeking positive resolutions.
* Support system-related issues and escalate as needed, keeping clients and teams updated.

Quality Team:

* Provide quality checks across processes, maintaining records of issues and successes.
* Investigate and draft responses to service issues, complaints, data breaches, FOI, and SARs.

Learning Team:

* Create content in HR systems for staff and clients.
* Administer learning coordination and support via the OLM system.
* Manage HR intranet content and knowledge bases.

Contracts Team:

* Manage recruitment processes from request to onboarding, including contracts and payroll integration.
* Manage applicants to meet KPIs and standards.
* Support back-office functions and email responses.

Additional responsibilities include:

* Undertake duties as agreed with your line manager.
* Demonstrate NHSBSA values and promote safety, diversity, and inclusion.
* Follow policies, procedures, and protocols relevant to your role.

Responsible to: Team Manager

Key relationships: Internal and external customers, HR Department
