We are seeking a reliable part-time Administrative Assistant to support our day-to-day office operations. The ideal candidate will be organised, proactive, a good communicator and capable of maintaining professionalism during busy periods.
Hours and details of post
Hours: 16 hours per week to include Wednesday full day
Occasionally you may have the opportunity to work additional hours covering holiday leave in the office
The job is based at our office on the Holywood Road in Belfast
Rate of pay is dependent on experience and is paid monthly.
Job Responsibilities
· Report to the Office Manager for issues requiring attention each day
· Manage administrative tasks for removals - taking bookings and managing the relevant paperwork and correspondence
· Schedule meetings and appointments for the Surveyors and Directors
· Handle incoming calls and emails, and greeting customers (face to face)
· Sort the post and deliveries
· Preparing post
· Maintain paper and digital files
· Prepare removal documents
· Prepare and monitor social media posts
· Monitor office supplies and place orders as required
· All other duties as required by the Office Manager
Required Skills and Qualifications
· Proficiency in MS Office (Word, Excel)
· Experience in (professional) use of social media
· Strong communication and interpersonal skills
· Ability to work independently and as part of a team
· Excellent organisational and time management skills
· 5 GCSE's grade C or higher, to include English and Maths
Desirable Skills and Qualifications
· 1 years' experience in an administrative role
· Previous experience using Canva
